The Role
We're looking for an organised and versatile Project Business Management Officer to join a Defence program office in Canberra. Reporting to the Project Office Team Lead, you'll provide administrative and governance support to multiple project managers, a Commercial Manager and the Project Director — acting as a central point of coordination across a small, busy team.
This role suits someone who thrives in a complex, matrixed environment, managing competing priorities across risk reporting, governance meetings, and vendor engagement. You'll act as secretariat for key governance forums, coordinate risk management reporting, and help establish administrative processes as new vendors come onboard — all while building strong, influential relationships with stakeholders across the project.
Key Responsibilities
- Assist in the planning and coordination of Project Office Team taskings and support day-to-day project governance activities
- Act as central coordinator for the project's risk management reporting and compliance, including coordinating Integrated Project Risk Management Team meetings and providing secretariat duties
- Support key enterprise and contract governance meetings as secretariat, including meeting bookings, calendar management and minute-taking
- Facilitate engagement with contracted vendors, supporting meetings, data requests and administrative matters as they're established as part of the project
- Support design and establishment of administrative and governance processes, including data exchange, correspondence and site access arrangements
- Coordinate and manage information progressing for Project Director or higher review and clearance
- Work collaboratively to build and maintain effective stakeholder relationships and negotiate to deliver agreed project outcomes
- Assess, interpret and comply with legislative, policy and regulatory frameworks
- Prioritise and delegate tasks among Project Office Team members while managing your own workload to defined timeframes and quality requirements
Required
- Current NV1 security clearance
- Relevant degree qualifications or more than 3 years' industry experience
- More than 3 years' experience in project management and/or business administration
- Experience coordinating team member work effort within a project management office environment
- Comprehensive understanding of project management processes
- Strong written and oral communication skills, including advanced project documentation review skills
- Experience working in a complex stakeholder system, with proven commercial and business acumen
- Experience working in a Defence Capability Acquisition and Sustainment Group (CASG) project environment highly regarded
- Comprehensive understanding of Defence processes and structure highly regarded
Salary
$94,396 - $99,396 (incl. Super), pro rata for the duration of this engagement
