Working as part of a collaborative administrative team and reporting to the Director of Client Services, the Temporary Administration and Workflow Associate advances our mission and vision to provide a supportive and caring environment and to support our clients to reach their full potential using a person centered model to respond to each client's specific education, social, behavioural and recreational needs.

Roles and Responsibilities:

1. Medical Supports

- Arrange for annual pharmacy audits at each location in collaboration with pharmacy.

- Coordinate annual flu and COVID vaccination clinics.

- Cross-training to support the Program Administration Team

2. Administrative & Office Operations

- Provide a welcoming and professional point of contact for clients, suppliers, and visitors.

- Screen and redirect incoming calls and emails, ensuring timely responses or delegation to appropriate team members.

- Order business cards and break cards.

- Complete electronic filing and organization of records via the SharePoint platform.

- Monitor and process faxes.

- Update large organizational contact lists as required.

- Support digitization of administration, medical process, and other record management projects.

3. Program, Compliance & Workflow Support

- Prepare school transportation information and assist with accessibility vehicle permits.

- Send out Adobe Sign documents as requested by the Compliance Department.

- Policy and Procedure (P&P) quarterly review support.

- Assist with form creation (MS Forms, Word Forms, etc.) for the Director of Client Services

- Assist with the intake process as needed.

- Participate in special projects, research & development, and workflow improvement initiatives as assigned.

- Other administrative duties as assigned.

Qualifications:

- 2+ years of experience in an administrative or coordination role, preferably within healthcare, social services, or multi-site organizations.

- Strong organizational, time-management, and multitasking skills with attention to detail.

- Proficient in Microsoft Office Suite: SharePoint, Microsoft Forms, Microsoft Tasks,

- Proficiency with Microsoft Power Automate and other Microsoft 365 applications to streamline processes and improve operational efficiency.

- Experience creating Microsoft Word Forms, Adobe Editable PDF, Excel, Mail Merge

- Excellent interpersonal and communication skills.

- Ability to work independently and prioritize a dynamic workload.

- Experience with privacy regulations and handling confidential information is an asset.

Working Conditions:

- Office-based role with occasional travel between program locations (Simcoe County).

- Standard business hours with some flexibility required for project deadlines or scheduled events.
