Our client, a growing healthcare and life sciences organization, is seeking a highly organized Office Assistant to support daily business operations. This is an excellent opportunity for someone who enjoys variety in their day, takes initiative, and is eager to learn. The role will support multiple departments including Operations, HR, Finance, and Executive Leadership while helping keep a small, collaborative office running smoothly.
Responsibilities
- Provide general administrative and office support
- Answer phones, greet visitors, and receive packages
- Manage outgoing mail, checks, bank deposits, and office shipments
- Coordinate executive travel arrangements, client meetings, and reservations
- Assist with expense reports and expense tracking
- Support employee onboarding, benefits administration, and other HR-related tasks
- Maintain files, records, and office documentation
- Assist with contract renewals and various business reporting activities
- Take detailed meeting notes and follow through on action items
- Order office supplies and help maintain inventory
- Partner with team members across multiple departments on special projects and administrative needs
Qualifications
- 1+ years of administrative, office support, customer service, or related experience
- Strong Microsoft Office skills, especially Outlook, Word, and Excel
- Ability to learn new systems and technology quickly
- Detail-oriented with strong organizational and multitasking skills
- Comfortable working in a fast-paced environment with changing priorities
- Professional communication skills, both written and verbal
- Self-starter who can work independently while asking questions when needed
- Experience with expense reporting, HR administration, Concur, SAP, or similar systems is a plus
