Senior Information Management Specialist

Location: Toronto, Ontario – Wellesley Street

Work Arrangement: 100% Onsite – 5 days per week

Start Date: October 26, 2026

End Date: October 5, 2027

Extension: Up to 2 extensions, subject to agreement

Closing Date: September 15, 2026 at 1:30 p.m. EST

Incorp Rate: $65-$69.79/hr

Position Overview

Our client, is seeking Senior Information Management Specialists to provide expert advice and support on information management initiatives across their programs.

The successful candidates will help organizations manage structured and unstructured information throughout its lifecycle, with a focus on information architecture, metadata, classification, taxonomy, records management, document management, privacy, information security, and the modernization of legacy information and repositories.

This role is ideal for an experienced Information Management professional who can work independently, advise business stakeholders, lead IM initiatives, and translate information management principles into practical processes, standards, and solutions.

Key Responsibilities

- Provide expert advice on information management best practices, standards, trends, and information lifecycle management.

- Assess business needs and develop information management strategies and recommendations.

- Lead and coordinate information management initiatives across business and technology teams.

- Develop and implement document and records management protocols, guidelines, and best practices.

- Establish business rules for naming conventions, version control, document labelling, retention, and document management.

- Develop and maintain functional classification schemes for business and records information.

- Assess metadata requirements and develop metadata schemas, standards, and management practices.

- Support information architecture, taxonomy, controlled vocabularies, and thesauri.

- Support the digitization, migration, modernization, and organization of legacy records, documents, and repositories.

- Identify information security and privacy classification requirements and support their implementation within unstructured data environments.

- Support the development of Privacy Impact Assessments (PIAs).

- Conduct information management maturity assessments, environmental scans, jurisdictional research, and legislative/policy reviews.

- Develop business cases, strategic recommendations, and implementation plans for IM initiatives.

- Develop and track information management performance measures and KPIs.

- Support business and information architecture teams in defining information management needs and priorities.

- Develop training materials, awareness programs, communications plans, and deliver IM training to diverse audiences.

- Provide ongoing guidance to business stakeholders on information management concepts, policies, standards, and practices.

- Collaborate with Business Analysts, Architects, Data Architects, Data Conversion Specialists, DBAs, Project Managers, BI Specialists, Training Specialists, and other technical resources.

- Participate in IM committees, working groups, and cross-functional initiatives.

- Build strong relationships between Ministry business areas and OPS I&IT teams.

- Support the planning and implementation of information management strategies and priorities.

Must-Have Qualifications

- Strong knowledge of information architecture, metadata management, taxonomy development, classification structures, and content/document management.

- Demonstrated experience supporting digitization, migration, and modernization of legacy records, documents, information, and repositories.

- Strong understanding of the information lifecycle and information management principles.

- Experience developing functional classification schemes, metadata standards, schemas, and controlled vocabularies.

- Experience developing document and records management rules, standards, naming conventions, version control, and labelling practices.

- Experience leading or supporting information management initiatives and providing advice to business stakeholders.

- Strong analytical, research, organizational, and communication skills.

Additional Qualifications

- Experience assessing business and information management needs across areas such as records management, privacy, access, and information governance.

- Experience developing information management business cases and strategic plans.

- Knowledge of national and international records management and information management standards.

- Experience with taxonomies, thesauri, controlled vocabularies, and classification methodologies.

- Experience supporting Privacy Impact Assessments (PIAs).

- Knowledge of information security and privacy classification requirements.

- Experience conducting business process mapping, maturity assessments, environmental scans, and jurisdictional research.

- Experience developing and delivering IM training and awareness programs.

- Experience developing and tracking IM performance measures and KPIs.

- Experience working within large, complex government or enterprise environments.

- Strong stakeholder and relationship management skills.

- Ability to collaborate effectively with both business and technical teams.

- Proven ability to manage multiple priorities and meet tight deadlines.
