Commercial HVAC Dispatcher

About the Role
We are seeking an organized and customer-focused Commercial HVAC Dispatcher to join our growing service operations team. In this role, you will coordinate daily service schedules, support field technicians, and ensure customers receive timely and efficient service.
The ideal candidate has experience dispatching commercial HVAC technicians, thrives in a fast-paced environment, and is skilled at managing multiple priorities while maintaining excellent customer service.
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Compensation: $30.00–$40.00 per hour, plus performance-based bonus opportunities

Key Responsibilities
- Serve as the primary point of contact for incoming customer service requests via phone and email.
- Schedule and dispatch commercial HVAC technicians based on service priorities, technician availability, and customer needs.
- Coordinate preventive maintenance appointments and recurring service visits.
- Prepare basic service estimates and small repair quotes for technicians.
- Review completed service calls to ensure work orders, invoices, labor hours, and material usage are accurate before closing them.
- Verify technician time entries and ensure proper allocation of labor and materials.
- Order parts and coordinate delivery as needed to support ongoing service work.
- Process warranty registrations and related documentation.
- Maintain accurate service records and update information within the company's field service management software.
- Work closely with technicians, customers, and internal staff to ensure efficient daily operations.
Qualifications
- Previous experience dispatching commercial HVAC service technicians.
- Hands-on experience with field service management software such as ServiceTitan, FieldEdge, In-House Pro, or similar platforms.
- Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Excellent communication and customer service abilities.
- High level of accuracy and attention to detail.
- Basic knowledge of invoicing, accounts receivable, or general accounting processes is preferred.
- Proficient with standard computer applications and comfortable learning new software.
