Status: Part time / 20 Hours / week
Work Schedule: 9:00 AM to 1:00 PM AEDT / 7:00 AM to 11:00 AM PHT - Monday to Friday (Transitioning to Full-Time: 9:00 AM – 6:00 PM AEDT/ 7:00 AM to 6:00 PM PHT)

About the role:
The Supply Chain & Logistics Executive (Inbound) will own the day-to-day operational execution of the inbound supply chain from production through to stock landing in the warehouse. Working within established forecasts, you will ensure seamless inventory flow, accurate documentation, and complete visibility across all shipments to prevent stockouts and shipping delays.

Key Responsibilities:

Forecast & Stock Monitoring:

- Review monthly sales/demand forecasts against stock on hand (working within established forecasts).

- Continuously monitor stock levels to maintain a 2-3 month stock cover target, factoring in ~45-day production and ~30-day shipping lead times.

- Proactively flag stock risks early enough for the team to action.

Manufacturer & Freight Coordination:

- Track manufacturer production lead times against order timelines.

- Organize shipments and manage relationships with freight forwarders.

- Track active shipments every 1–2 days from dispatch to final warehouse arrival.

- Maintain a shipment tracker/dashboard to provide clear visibility across the business.

Documentation & Customs Compliance:

- Collect all necessary shipping paperwork from suppliers and manufacturers for every shipment.

- Review documentation to ensure full compliance so containers clear Australian customs without delay.

- Ensure original Bills of Lading / telex releases are received on time and provided to freight forwarders promptly to prevent demurrage or delay costs.

Retailer Coordination & System Accuracy:

- Liaise directly with retailer supply planners to ensure alignment on stock levels and delivery timing.

- Compare retailer forecasts against internal forecasts and flag any discrepancies.

- Coordinate opening orders and inbound timing for new product lines.

- Keep inventory and logistics data accurate, up to date, and build/maintain standard operating procedures (SOPs) for the inbound process.

Qualifications:

- Experience: 3-4 years of relevant experience in supply chain, inbound logistics coordination, or import operations.

- Import Expertise: Demonstrated experience owning freight forwarder relationships and managing end-to-end import documentation (including Bills of Lading, customs clearance papers, and compliance paperwork).

- System Knowledge: No specific CRM/ERP platform is required, but you must be tech-savvy and comfortable updating operational tracking systems and inventory tools.

- Mindset & Communication: Highly detail-oriented and proactive communicator who naturally catches potential delays or gaps before they turn into operational problems.

Nice to Have:

- Background in import-heavy FMCG or food industries.

- Experience tracking supplier OTIF (on-time-in-full) performance and freight/landed cost movements (FX, fuel surcharges, freight rates).

- Knowledge of import compliance requirements, such as tariff codes, country-of-origin rules, and permits.

- Experience handling logistics exceptions, such as shipment delays, damaged stock, or customs holds.

Pay: Php25,000.00 - Php35,000.00 per month
