Role Overview
We’re looking for an experienced Accounts Payable / Accounts Receivable Specialist who is highly organized, detail-focused, and comfortable managing accounting activity across multiple companies and legal entities.
You’ll help keep vendor payments, customer billing, credit card transactions, reconciliations, and account records accurate and up to date. This role is a great fit for someone who enjoys working with numbers, catching discrepancies, solving problems, and making sure financial details are handled correctly.
QuickBooks Online experience is essential, along with at least 3 years of relevant accounting experience.
What You’ll Own
- Process vendor invoices accurately and on time across multiple companies and legal entities.
- Review invoices for proper approvals, documentation, coding, and entity allocation.
- Enter and maintain vendor bills in QuickBooks Online and prepare payments according to established schedules and approval requirements.
- Maintain accurate vendor records and reconcile vendor statements, researching discrepancies, duplicate invoices, credits, and outstanding items.
- Monitor accounts payable aging and follow up on items that need attention.
- Manage and reconcile a high volume of corporate credit card transactions across multiple cardholders and accounts.
- Collect and review receipts and supporting documentation, following up on missing or questionable transactions.
- Reconcile credit card activity and monthly statements to the general ledger and maintain organized electronic records.
- Prepare and issue customer invoices accurately and on time across multiple entities.
- Record and apply customer payments, credits, and adjustments in Zoho Books and/or QuickBooks Online.
- Monitor accounts receivable aging and follow up on past-due balances.
- Research and resolve billing discrepancies and customer account issues.
- Maintain accurate customer records, payment terms, and billing information.
- Coordinate with internal teams regarding invoicing, collections, and account questions.
- Assist with collection activities and provide management with updates on delinquent accounts.
- Reconcile accounts receivable subledgers to the general ledger.

You Might Have (or Be Ready to Learn)
