About the role
Candid Coffee is urgently rebuilding its Finance Department. This is a hands-on, resourceful Finance Associate provides day to day support to the Finance Department in maintaining accurate and timely financial records, reconciliations, schedules, and reports.
This position is designed to strengthen the Finance Department's operational coverage, succession planning, and business continuity, ensuring that critical finance processes continue even during periods of leave, high workload, or staffing transitions
Key responsibilities
1. QuickBooks / Accounting System Support
- Assist in the timely and accurate posting of financial transactions in QuickBooks (QB).
- Ensure transactions are properly categorized and supported by appropriate documentation.
- Assist in reviewing posted transactions for completeness and accuracy.
- Maintain organized records of accounting entries and supporting documents.
- Assist in identifying and resolving discrepancies in system postings.
2. Bank Reconciliation
- Perform regular bank reconciliations and compare bank transactions against accounting records.
- Identify discrepancies, missing transactions, duplicate entries, and other irregularities.
- Coordinate with the Finance team regarding unresolved reconciliation items.
- Maintain updated reconciliation schedules and supporting documents.
- Prepare bank reconciliations for assigned accounts within the prescribed timetable and agree ending balances to bank statements and QuickBooks/Accounting System.
- Identify outstanding deposits, unpresented checks, bank charges, duplicate or missing entries, stale items, and unusual transactions.
- Maintain an ageing of reconciling items and escalate material, long-outstanding, or suspicious exceptions immediately.
3.Sales Reconciliation
- Assist in the reconciliation of daily/periodic sales from branches and other business channels against recorded collections and deposits.
- Compare sales reports, payment channels, deposits, and accounting records.
- Investigate variances and coordinate with concerned teams for clarification and resolution.
- Maintain proper documentation of reconciliation results.
- Prioritize the StoreHub-to-Maya-to-bank reconciliation, including card settlement timing, merchant fees, withholding taxes, reversals, chargebacks, and unmatched credits.
4. Month-End Closing Support
- Assist in preparing month-end schedules and supporting working papers.
- Ensure recurring entries and schedules are prepared within the required timeline.
- Assist in reviewing outstanding balances and unreconciled transactions before month-end closing.
- Prepare supporting schedules and documentation required by the Finance Manager.
- Assist in identifying items that require adjustment, follow-up, or further validation.
- Check that sales and related entries follow the Company's approved VAT-inclusive/exclusive treatment and flag inconsistent source data for correction.
- Prepare assigned month-end schedules, reconciliations, accrual support, roll-forwards, and working papers; follow the close checklist and deadlines.
5. Recurring Financial Reports
- Prepare assigned recurring finance reports and schedules on a daily, weekly, or monthly basis.
- Maintain accurate and updated reporting files and trackers.
- Ensure reports are submitted within established deadlines.
- Assist in consolidating data from branches, AP, AR, banks, and other finance records.
- Support the Finance Manager in preparing management reports and financial analyses as needed.
6. AP / AR Back Up
- Serve as backup support for Accounts Receivable and Accounts Payable when required.
7. Finance Documentation and Internal Controls
- Maintain organized and complete finance records and supporting documents.
- Follow established Finance policies, procedures, approval processes, and internal controls.
- Ensure confidentiality and proper handling of financial information.
- Assist in improving finance processes, documentation, and reporting workflows.
- Immediately escalate material discrepancies, unusual transactions, or control concerns to the Finance Manager.
- Follow maker-checker controls, approval limits, least-privilege access, confidentiality rules, and document-retention requirements.
- Maintain complete, orderly, audit-ready electronic and physical records using approved naming and filing conventions.
- Support backlog-clearing, audit requests, inventory observations, process documentation, and practical automation or reporting improvements.
- Immediately report missing cash, suspected fraud, unauthorized transactions, material VAT/compliance issues, or other critical control breaches.
8. General Finance Operational Support
- Provide general support to the Finance Department during peak periods and special projects.
- Assist in finance-related audits, data gathering, and document preparation.
- Support process improvements and automation initiatives.
- Perform other finance-related duties that may reasonably be assigned by the Finance Manager.
About you
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- At least 1–2 years of experience in accounting, bookkeeping, finance operations, AP, AR, or a related function.
- Experience with QuickBooks is preferred.
- Experience in reconciliation and financial reporting is highly preferred.
- Experience in F&B, Hospitality, Retail or multi-brand businesses is preferred.
- Proficient in Microsoft Excel or Google Sheets.
- Knowledge of accounting principles and basic financial reporting.
- Familiarity with QuickBooks or similar accounting systems.
- Ability to perform bank and sales reconciliations.
- Strong data entry and documentation skills.
