compassionate legal services to our clients.

Position Overview

Bull Axiom Law, PLLC is seeking an organized, detail-oriented Data Clerk to assist with the maintenance, organization, accuracy, and integrity of the firm's electronic client and case records. The Data Clerk will enter and update information in the firm's case-management and CRM systems, upload and organize client documents and evidence, maintain electronic client files, assist with spreadsheets and internal tracking systems, and perform routine quality-control reviews of firm records. This position plays an important operational role in ensuring attorneys, paralegals, case managers, and other authorized personnel have accurate, properly organized information when they need it.

The Data Clerk is an administrative position and is not authorized to provide legal advice or independently perform substantive legal work.

Primary Responsibilities

Client and Case Data

- Enter and update client, matter, case-status, and team information in firm systems.

- Review records for missing, duplicate, outdated, or inaccurate information.

- Correct routine errors and escalate significant discrepancies.

- Organize and transfer information received from clients, staff, vendors, and approved systems.

Client File Management

- Create and maintain organized electronic client and case files.

- Upload, name, categorize, and organize documents according to firm standards.

- Identify and correct misplaced, duplicate, incomplete, or mislabeled files.

- Assist with file audits and data-cleanup projects.

Evidence Management

- Upload and organize client evidence, including documents, photos, videos, and financial records.

- Ensure evidence is associated with the correct client and matter.

- Preserve original files and report corrupt, incomplete, or inaccessible records.

- Maintain evidence logs when required.

- Organize and preserve evidence, not determine its legal significance.

Case and Client Tracking

- Maintain internal spreadsheets, databases, and case-status records.

- Record administrative milestones and workflow updates.

- Assist with routine reports and identify files needing administrative attention.

Document Processing

- Scan, upload, download, convert, combine, and separate documents as needed.

- Confirm documents are readable and filed under the correct client and matter.

- Assist with large-volume uploads and basic quality-control reviews.

Closed Files and Records Retention

- Assist with case closeout, archiving, and records-retention procedures.

- Confirm required documents are properly stored before closing a matter.

- Remove duplicate administrative copies only when authorized.

- Never independently delete substantive client records or evidence.

Quality Control

The Data Clerk is expected to:

- Verify that information and documents are entered under the correct client and matter.

- Check key identifying information for accuracy.

- Identify duplicate records and obvious discrepancies.

- Report unresolved issues rather than making assumptions.

- Follow firm procedures consistently.

Accuracy and confidentiality take priority over speed.

Confidentiality and Information Security

The Data Clerk will have access to confidential and privileged client and firm information and must:

- Maintain strict confidentiality at all times.

- Access information only as needed for assigned duties.

- Use only firm-approved systems, devices, and storage locations.

- Follow all cybersecurity, password, and document-management policies.

- Never transfer, copy, photograph, or store client information for unauthorized purposes.

- Secure workstations when unattended.

- Immediately report suspected data loss, unauthorized access, or security incidents.

Limitations of Position

The Data Clerk is a non-attorney administrative employee and may not:

- Give legal advice or interpret laws or contracts.

- Evaluate cases, evidence, or legal strategy.

- Negotiate settlements or predict case outcomes.

- Make substantive legal representations to clients or third parties.

- Sign documents on behalf of an attorney or client.

- Represent themselves as an attorney, paralegal, or licensed legal professional unless separately qualified.

Required Qualifications

- High school diploma or equivalent.

- Strong computer skills.

- Accurate keyboarding and data-entry ability.

- Strong attention to detail.

- Excellent organizational skills.

- Ability to follow written procedures.

- Ability to maintain confidentiality.

- Ability to work with large volumes of electronic records.

- Ability to identify inconsistencies and missing information.

- Dependability and professional judgment.

- Ability to work independently while following supervisory direction.

- Basic proficiency with Microsoft Word; Microsoft Excel and/or Google Sheets; Email; PDF documents; Cloud-based file systems; and Web-based software applications.

Preferred Qualifications

The following are preferred but not required:

- Previous law-firm experience.

- Previous data-entry or records-management experience.

- Experience with legal case-management software.

- Experience with CRM systems.

- Experience with document-management platforms.

- Experience organizing large quantities of electronic files.

- Familiarity with litigation, contracts, court documents, or legal terminology.

- Experience handling confidential client, financial, medical, or professional records.

- Advanced Microsoft Excel or Google Sheets skills.

Work Environment & Schedule

- In-office

- Monday-Friday (8:00 a.m. - 5:00 p.m.)

Job Type: Full-time

Pay: $19.00 - $23.00 per hour

Work Location: In person
