DESCRIPTION :
We are seeking an organized, results-driven Bilingual Sales Specialist to join our team for our property at Villa Siena.
This role plays a key part in ensuring smooth leasing activity, accurate financial administration, strong resident relations, and efficient office operations. The ideal candidate is committed to delivering an exceptional living experience for residents while upholding Carbon Residential's standards of professionalism and compliance. Strong proficiency in property management software — particularly Yardi and OneSite — is required.
ESSENTIAL DUTIES & RESPONSIBILITIES
Administrative Operations:
- Manage day-to-day administrative tasks including data entry, filing, record maintenance, and document preparation.
- Utilize property management software — including Yardi and OneSite — to track occupancy, rent collections, delinquency, and other key operational metrics.
- Prepare and submit accurate reports to the Property Manager and Regional Manager, highlighting property performance and identifying areas for improvement.
- Maintain up-to-date lease files, resident records, and compliance documentation in accordance with company standards.
- Process move-ins, move-outs, lease renewals, and transfers with accuracy and within required timeframes.
- Assist with monthly financial closeouts, rent posting, and ledger reconciliations.
Leasing & Marketing:
- Assist with leasing activities including conducting tours, processing applications, screening prospects, and preparing lease agreements.
- Support the execution of property marketing strategies to maintain strong occupancy levels and minimize vacancy.
- Ensure all leasing documentation is complete, accurate, and compliant with Fair Housing laws and company policies.
- Follow up with prospective residents through calls, emails, and walk-ins to convert leads into signed leases.
- Monitor market trends and assist in compiling competitive market surveys as requested.
Resident Relations:
- Serve as a primary point of contact for resident inquiries, concerns, and requests, ensuring timely and professional resolution.
- Demonstrate excellent phone etiquette, written communication, and in-person customer service at all times.
- Manage and de-escalate resident conflicts using sound judgment and conflict resolution techniques.
- Coordinate resident communications including notices, newsletters, event announcements, and community updates.
- Support resident retention efforts through renewal outreach, engagement programs, and ongoing relationship-building.
Financial Administration:
- Assist with rent collection, delinquency follow-up, and posting of payments in property management software.
- Process vendor invoices and purchase orders in accordance with company procedures and approved budgets.
- Track and report on outstanding balances, prepayments, and move-out charges.
- Support the Property Manager in budget monitoring and financial reporting tasks.
Compliance & Reporting:
- Ensure all leasing, administrative, and operational activities comply with applicable Fair Housing laws, OSHA guidelines, and local regulations.
- Assist with property inspections and document findings in accordance with Carbon Residential procedures.
- Maintain confidentiality of all resident, applicant, and company information at all times.
- Prepare and complete job-related documentation accurately and within required deadlines.
QUALIFICATIONS & REQUIREMENTS:
- High school diploma or equivalent required; Bachelor's degree in Business Administration, Real Estate, or related field preferred.
- Minimum 3–4 years of experience in property management, with a focus on administrative and leasing functions.
- Proven proficiency with property management software, including Yardi and OneSite.
- Strong background in administrative tasks, including data entry, document management, and customer service.
- Familiarity with lease agreements, Fair Housing laws, and compliance with applicable regulatory requirements.
- Excellent verbal and written communication skills with strong attention to detail.
- Demonstrated ability to manage conflict, prioritize multiple tasks, and thrive in a fast-paced environment.
- CAM (Certified Apartment Manager) or NALP (National Apartment Leasing Professional) certifications are a plus.
- Reliable transportation and ability to work on-call and extended hours including weekends and holidays.
TECHNICAL REQUIREMENTS :
Must demonstrate working proficiency in Yardi and OneSite, as well as standard office tools including the Microsoft Office Suite. Familiarity with online leasing portals, resident communication platforms, and reporting dashboards is expected. The ability to generate, interpret, and act on occupancy and financial reports is essential.
Pay: From $47,500.00 per year
