Lab Operations & Integration Specialist Onsite – Chanhassen, MN | Full-Time

Job Type: Full-Time, In-Person (40 hours/week, Monday–Friday)

Compensation: $24–$28+ /hour

About CascadEffects CascadEffects provides fractional COO and operations consulting for dental and orthodontic practices and dental industry businesses. This role is being recruited in partnership with CascadEffects, serving as our client's embedded operations partner.

About the Role

Our client operates a retainer management platform that helps orthodontic and dental practices order, track, and manage post-treatment retainers for their patients. The company partners closely with dental laboratories to keep retainer production and delivery running smoothly for the practices and patients it serves. This position is embedded onsite at one of those partner laboratories.

Position Summary

This role is the company's onsite operations liaison, embedded full time within a dental laboratory in Chanhassen, MN. The first 30 days are spent as a working member of the lab's team, learning the day-to-day process behind the lab's high-volume retainer production (over 1,500 retainers processed per month) from the inside. From there, this person partners with the company's development team on a roughly 90-day project to integrate the lab's case management system with the company's platform. Following that project, the role is intended to continue as the company's embedded ambassador inside the lab, supporting day-to-day order administration and advocating for ways to strengthen the relationship between the two organizations.

What You'll Do

Onboarding & Process Immersion (First 30 Days)

- Work embedded within the lab's team to learn the retainer order and manufacturing process firsthand

- Shadow lab staff to understand how orders come in, how retainers are manufactured, and how tracking numbers and case statuses get logged

- Build a working knowledge of the lab's case management system before contributing to any process or integration recommendations

Retainer Order & Production Administration

- Support the administrative side of processing 1,500+ retainer orders per month

- Track order status from intake through manufacturing through shipment, and escalate delays or production issues

- Keep order and tracking information current in the company's systems, coordinating with lab staff and the company's support team

Support Ticket & Case Coordination

- Monitor and help resolve support tickets tied to retainer orders and production

- Serve as the on-the-ground point of contact between the lab and the company for order and case related questions

- Flag recurring issues or bottlenecks to the company's team

Software Platform Integration (Days 30–90)

- Partner with the company's development team to scope and support integrating the lab's case management system with the company's platform

- Provide operational input based on hands-on knowledge of the lab's process gained during the first 30 days

- Help test and validate integration milestones from the lab floor before rollout

Ongoing Representation (Following the Integration Project)

- Serve as the company's embedded ambassador within the lab on an ongoing basis

- Identify and advocate for opportunities to strengthen the relationship between the lab and the company, such as new product or upsell ideas (for example, adding whitening to retainer kits)

- Continue supporting day-to-day order administration as the primary onsite liaison between the two teams

What We're Looking For

- Working knowledge of retainers (such as Essix retainers) and how they are produced, gained through dental assisting, chairside, or dental lab experience

- Comfortable learning and working within case management and CRM style software

- Strong administrative and organizational skills, able to track high-volume workflows accurately

- Clear, professional communicator able to liaise effectively between two teams

- Detail oriented, with the ability to spot and flag production or order issues before they reach the patient

- Self-starter comfortable spending the first 30 days primarily observing and learning before contributing recommendations

Education & Experience

- High school diploma or equivalent required

- Dental assistant experience or equivalent chairside/dental lab experience

- Prior experience in an administrative, logistics, or production coordination role is a plus

- No specific software certification required; willingness and ability to learn the lab's and company's systems is essential

Physical Requirements & Work Environment

- Full-time, in-person role based onsite at a dental laboratory in Chanhassen, MN

- Works daily alongside lab and production staff; some standing/walking through the production floor and extended computer use

- Collaborates remotely with the company's team, including its development team, on integration work

- Employed and paid through the company while working physically within a partner lab environment
