Job Description
We're a small business looking for a resourceful, self-directed Executive Assistant to support our C Suite team. This is a full-time, fully remote role for someone who likes to build and create structure, anticipates needs before they're voiced, and takes real ownership of the calendar, communications, and day-to-day operations that keep executives focused on what matters most. This role comes with real visibility and the opportunity to build a high-trust partnership with leadership.
Key Responsibilities
- Own and proactively manage a dynamic calendar, resolving conflicts and prioritizing time based on business impact
- Screen, triage, and draft responses to email and other correspondence
- Schedule and coordinate meetings, including prep materials and follow-up action items
- Manage travel logistics end-to-end (flights, lodging, itineraries, changes)
- Track and process expenses, invoices, and basic bookkeeping tasks
- Maintain organized digital files, contracts, and records
- Support light project management — tracking deadlines, following up with stakeholders, and keeping initiatives on schedule
- Serve as a professional point of contact for clients, vendors, and partners
- Coordinate logistics for client meetings, calls, and occasional events
- Conduct research and prepare summaries to support business decisions
- Assist with personal tasks and errands as needed to support the executive's effectiveness
- Take on ad hoc projects that don't yet have an obvious owner
Requirements
- 5+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role
- Excellent written and verbal communication skills
- Strong judgment and discretion when handling confidential or sensitive information
- Highly organized with sharp attention to detail and follow-through
- Comfortable working independently in a remote environment with minimal oversight
- Tech-savvy and comfortable learning new tools quickly (e.g., Claude, Microsoft 365, expense management, project management and scheduling tools)
- A calm, solutions-oriented approach when priorities shift or things move fast
- Ability to build trust through consistent delivery on projects and tasks
- Demonstrated ability to anticipate needs follow through
- Preferred: experience supporting a founder, owner, or executive at a small business or startup
- Preferred: familiarity with basic bookkeeping or expense management tools (e.g., QuickBooks, Expensify)

- Location: Fully Remote, but with occasional in-person meetings (New York Metropolitan area)
- Compensation: Commensurate with experience up to $87k
