Olive Tree Consulting is currently assisting a partner in the financial sector with a series of management improvements. We are looking for a Project Planning Assistant to help our advisors organize these engagements and ensure that client work remains on schedule. This is a full-time, remote position for someone who values clarity and wants to learn how professional management rhythms are built from the ground up.
About the role
This position exists to bridge the gap between high-level strategy and the daily tasks that make that strategy a reality. At Olive Tree, we work with leadership teams to fix the habits that slow them down. Your role is to support this process by acting as the primary coordinator for our project timelines and documentation. You will help manage the administrative pulse of our engagement with our financial partner, ensuring that every meeting has a purpose and every decision is recorded.
Because we operate as a fully remote team, this role requires a high degree of digital literacy and a commitment to written communication. You will not just be managing a calendar: you will be helping to define how work is captured and shared so that nothing is lost to poor memory or vague notes. This is a foundational role within our firm that offers a clear view into how consulting projects are structured and executed.
What you will do
- Draft and maintain project schedules to ensure all milestones for our financial partner are met on time.
- Write clear, concise summaries of meetings that focus on decisions made and specific items for follow up.
- Coordinate the scheduling of recurring project reviews and management sessions across different time zones.
- Assist in tracking the ownership of tasks, making sure every team member knows what they are responsible for.
- Organize digital files and project documentation so that information is easily accessible to the entire team.
- Flag potential scheduling conflicts or project delays to advisors before they impact the client.
- Help prepare plain-language briefing materials for internal reviews and client updates.
- Verify that the smallest possible written record is maintained for every project phase to keep the work light and manageable.
What we are looking for
- A strong preference for order and a natural ability to keep track of many moving parts at once.
- The ability to write simple, direct English that avoids unnecessary professional jargon or filler.
- Reliability in a remote setting, including the discipline to manage your own hours and stay reachable.
- Attentive listening skills that allow you to identify the core points of a conversation quickly.
- Comfort using standard office software and a willingness to learn new tools for project tracking.
- A professional but approachable manner when communicating with colleagues and client contacts.
- Discretion and care when handling sensitive information related to our financial sector projects.
- An interest in how organizations function and a desire to help make work easier for others.
Helpful background
- Previous experience in a junior administrative or coordinator role, even if through an internship or university project.
- Familiarity with shared documents and basic project management software.
- A background in business, communications, or a field that requires logical thinking and writing.
- Experience managing schedules or logistics for a group or volunteer organization.
- Basic knowledge of financial terms is helpful but we will provide guidance on specific client context.
What we offer
This is a permanent, full-time position that is entirely remote. You will have the freedom to work from a location that suits you, provided you can maintain a consistent schedule that aligns with our team needs. We believe in paying people fairly for their contributions: this role is paid, and the compensation is competitive for an entry-level position in the consulting field. You will be part of a team that respects your time and focuses on the quality of your work rather than the number of hours you appear active on a chat app.
About Olive Tree
Olive Tree Consulting Group is a focused advisory practice that helps leadership teams solve recurring management issues. We typically work on the space between strategy and daily execution. A team can have very capable people and still find that decisions keep reopening, priorities stall, or responsibility remains unclear. These are rarely personality problems; they are structural habits that have not kept up with the company growth.
We favor practical changes over large-scale transformation programs. Our work involves looking at how decisions are made, how meetings are run, and how ownership is recorded. We prefer useful written notes and clear ownership over polished presentations and vague alignment. Good advisory work should make things plainer and leave the team with a rhythm they can continue on their own. The firm is built on the principle that memory is not a management system. We help teams create the smallest possible written record to support their work so that important follow-up does not depend on who was in the room or who has the best memory. The goal is a quieter management pattern that makes the existing work easier to lead.
