We are looking for a Remote Legal Receptionist for a client in the legal industry. The successful candidate will manage inbound client calls and provide virtual administrative support to lawyers, helping ensure timely communication, efficient client service, and organized legal processes in a remote setup.
Key Responsibilities
- Answer client calls using NextGenand route them appropriately.
- Respond to inquiries from new and existing clients via phone and email.
- Follow up with potential clients and assist with client onboarding.
- Prepare cost disclosure documents and client agreements.
- Digitally file, organize, and archive legal documents.
- Maintain solicitor calendars and monitor court dates and deadlines.
- Provide general administrative and virtual support to lawyers and the legal team.
- Maintain accurate and timely records of client communications and administrative activities.
- Perform other administrative tasks as required.
Qualifications
- 1–2 years of experience as a virtual receptionist, legal receptionist, administrative assistant, or similar role.
- Legal administration or experience supporting a law firm is a strong advantage.
- Clear English pronunciation and strong verbal and written communication skills.
- Familiarity with NextGen, Microsoft Office, and online collaboration tools.
- Strong organizational and time-management skills.
- Ability to work independently and manage multiple tasks in a remote environment.
- Strong attention to detail and ability to handle confidential information appropriately.
- Must have a stable and reliable internet connection.
- Must have a noise-cancelling headset suitable for handling client calls.
- Must have an additional monitor to support efficient multitasking.
- Must have a reliable backup power source (e.g., UPS, power station, or generator) to maintain work continuity during power outages.
Technical & Work-from-Home Requirements
- Must have a reliable Windows 10 or later PC/laptop or a supported macOS device compatible with a Cloud PC environment.
- Must have an additional monitor to support efficient multitasking.
- Must have active, up-to-date antivirus software installed on the device.
- Minimum device specifications:
- Dual-core processor, 1.6 GHz or higher recommended, such as Intel Core i3, AMD Ryzen 3, or equivalent.
- Minimum 4 GB RAM; 8 GB recommended for optimal performance.
- Keyboard, mouse, and display with a minimum resolution of 1280 × 720.
- Stable internet connection with a minimum speed of 10 Mbps; 20 Mbps or higher preferred.
- Must have a backup power solution sufficient to continue working during temporary power interruptions.
- Must have a suitable quiet and professional workspace for handling confidential client calls and legal information.
