Human Resource and Administration Officer
To support the business through ensuring the effective and timely completion of HR related tasks, including queries and requests from staff.
MAIN DUTIES & RESPONSIBILITIES (not an exhaustive list):
· Assisting in maintaining the HR Intranet, updating any changes to policy or information as and when
· Assist with arranging visitor parking permits and visitor parking
· Assisting in organising periodic HR Roadshows
· Action plans for Onboarding and training for new joiners
· Assisting with recruitment process, conduct interviews, letters, preparing interview timetables and packs and regret letters, raising employment contract, processing leavers and update in myHR/SF
· Welcome letters to new staff, creating employment files manual and myHR/SF and requesting job references
· Managing the probation reviews
· Sending welcome letters and information packs to new posted staff
· Updating and maintaining personnel files including data, manually and via Company HR Systems
· Compiling sickness report, ensuring all sickness certificates received, payroll advised and records maintained in myHR/SF
· Compiling list of staff with nil sickness, preparing and sending out letters
· Preparing regular DH report for Finance, HR Admin Manager
· Updating UK & I organisation chart and telephone list
· Completion of National Statistics surveys and forms
· Various reference request for current and ex-staff
· Assisting in the long service awards and preparing award letters and payments
· Sending out and compiling conflict of interest letters
· Managing manager’s medicals
· Ensure compliance and manage Health, Safety and Fire visits and risk assessments for all offices
· Arranging First Aid and Fire Marshal Training and overseeing First Aid Boxes
· Right to work checks
· Maintaining data for NST system for staff and retirees’ travel.
· Support with staff travel applications for duty (LSA, dependents, etc.) and concessional
· Compiling list of staff that have used the taxable benefit of privilege travel
· Processing staff ID card applications
· Processing Season Ticket Loans
· Assisting with the procurement process of HR contracts
· Certifying and recording invoices
· Assisting with events
· Organise and manage GM Awards
· Assist with monthly payroll
· Assisting with Facilities Management of the Chiswick office
· Assisting Head Office and staff various requests
· General filing duties
· Supporting the HR Team and covering other members of the HR Team when they are on leave
· Ariba - ensuring contracts are uploaded, up to date, etc.
· Any other relevant tasks, as and when required
· Assisting with day-to-day HR queries
Candidate must be eligible to work in the UK.
This position is full time with standard office hours 0900-1730.
