Property Manager

24 hours per week – Monday, Tuesday & Friday
£14–£15 per hour PAYE + bonuses

Capital One Property Management Ltd is looking for a hands-on Property Manager to take ownership of the day-to-day running of our growing residential portfolio across Darlington, Hartlepool and Teesside.
This is not a narrow administrative role. You will be the person keeping properties let, tenants supported, maintenance moving, compliance on track and issues followed through to completion.
We are deliberately building the role around ownership, autonomy and progression. You will work directly with the directors, take responsibility for a manageable portfolio and have established systems, contractors and processes behind you.
The business is growing, and the intention is for the role to grow with it. As the portfolio expands and you demonstrate strong performance, there is scope for increased hours, increased earnings and greater responsibility, with the aim of developing the position into a full-time role and, longer term, helping us grow and manage the wider property-management team. Progression will depend on portfolio growth, workload, performance and business requirements.
What you’ll be responsible for
- Tenants: day-to-day tenant and applicant communication, access, rent queries, house rules, first-stage complaints and move-in/move-out communication.
- Re-lets: manage property listings, enquiries, applicant pre-screening, viewings, documentation and move-ins, keeping void periods as short as possible.
- Maintenance: triage repairs, coordinate approved contractors, arrange access, attend trade meetings where required, check completed work and keep tenants updated until jobs are closed.
- Rent and arrears: monitor missed payments, contact tenants promptly, manage agreed payment plans within policy and escalate serious cases.
- Compliance: own the compliance calendar and make sure certificates, licences, inspections and scheduled actions remain up to date.
- Inspections: complete quarterly inspections with written reports, photographs and follow-up actions.
- Serviced accommodation: coordinate changeovers, quality checks and room/viewing preparation. Full cleaning is not part of the role.
- Records and systems: keep COHO and supporting systems accurate and current, including Inventory Base, SignWell, property portals and Xero where required.
- Landlord support: assist with property updates and operational matters as responsibility increases.
You will be expected to take responsibility for an issue once it reaches you and either resolve it fully or escalate it clearly. We do not want someone who simply forwards problems back to the directors.
The type of person we are looking for
You will ideally already be working in residential property management, lettings or a closely related role and be ready for more ownership and responsibility.
You should have:
- Experience in residential lettings or property management.
- A strong practical understanding of tenants, maintenance, re-lets and property compliance.
- Excellent organisation and follow-through.
- Confidence prioritising urgent and routine work without needing constant direction.
- Clear written and verbal communication.
- The ability to remain calm and professional in difficult conversations.
- Confidence working independently across multiple properties.
- A full UK driving licence and your own vehicle.
- Appropriate business-use motor insurance for your vehicle.
HMO management experience is highly desirable but not essential. Proven HMO management experience qualifies for the upper end of the advertised pay range.
Experience with property-management software is useful, but you do not need experience with our exact systems.
How the role works
The role is field-based across Darlington, Hartlepool and Teesside, with administration completed from home where appropriate.
Your normal working pattern will be:
Monday, Tuesday and Friday – 8 hours per day
There will be reasonable flexibility by agreement where viewings, move-ins, contractor appointments or operational requirements make this sensible.
You will work directly with both directors and receive structured onboarding and clear operating procedures.
During probation, directors retain closer oversight of repairs and key decisions. As you successfully complete probation, training and competence sign-off, more day-to-day authority and responsibility will transfer to you.
What we offer
- £14–£15 per hour PAYE, depending on experience.
- 24 contracted hours per week.
- £50 bonus for each completed re-let.
- £500 compliance bonus, subject to the defined compliance criteria and applicable pro-rata arrangements.
- £30 per qualifying out-of-hours callout.
- Qualifying business mileage reimbursed at the applicable HMRC-approved rate.

- 16.8 days' annual holiday entitlement for the three-day working pattern, including bank holidays as applicable under the contract.

- Shared out-of-hours rota — routine messages wait until normal working hours; genuine emergencies are handled through the agreed rota.

Contract
The position is offered initially on a 6-month PAYE contract, with extension expected as the portfolio grows.
There is a three-month probationary period.
Continuation beyond the initial term will depend on business growth, portfolio requirements and individual performance. Full contractual terms will be provided before appointment.

Capital One Property Management Ltd manages residential properties across Darlington, Hartlepool and the wider Teesside area, including HMOs, single lets and serviced accommodation.
We are growing both our own portfolio and the number of properties we manage for private landlords. This role is being created so one capable Property Manager can take genuine ownership of operations while the directors concentrate on acquiring properties and growing the management business.
