Administrative Assistant / Case Manager
Believe In Me – Early Intervention Agency
Believe In Me is seeking a highly organized, efficient, and detail-oriented Administrative Assistant/Case Manager to support our daily workflows and provide administrative and case management support within our Early Intervention program.
This is a fully in-person position. No remote work is available.
The ideal candidate is a warm, friendly, and professional individual who is extremely comfortable working on a computer, communicating by phone and email, managing information, and completing detailed administrative tasks with a high degree of accuracy.
Responsibilities
- Support the agency with daily administrative workflows and case management activities
- Provide excellent case management support for young children with special needs and their families
- Enter and maintain data accurately in electronic systems and files
- Work efficiently within ProviderSoft and other electronic systems
- Review progress reports and case documentation for completeness and accuracy
- Pull information and data from online systems and organize it appropriately within electronic files
- Scan, upload, and electronically file documents
- Send professional emails to staff members regarding case information and documentation
- Answer incoming phone calls with a pleasant, professional, and helpful manner
- Make outgoing phone calls and follow up on outstanding information when needed
- Communicate professionally with staff, providers, families, and other professionals
- Coordinate with professionals within and outside of the Early Intervention (EI) Program to address family needs
- Document activities accurately and in accordance with Early Intervention requirements
- Maintain organized, accurate, and up-to-date electronic records
- Follow up persistently to obtain missing information or documentation
- Identify errors, inconsistencies, or missing information and take appropriate action
- Manage multiple priorities while maintaining accuracy and efficiency
- Assist with other administrative duties and agency workflows as needed
Qualifications
- Bachelor’s Degree required
- Strong computer skills and the ability to learn and navigate multiple electronic systems
- Strong understanding of Microsoft Office, Excel, and/or similar database software
- Experience with data entry and electronic record keeping
- Excellent typing and professional writing skills
- Excellent verbal and written communication skills
- Professional and pleasant phone personality
- Comfortable answering and making frequent phone calls
- Extremely strong attention to detail
- High level of accuracy and organization
- Strong critical-thinking and problem-solving skills
- Ability to prioritize tasks and manage multiple responsibilities
- Ability to work independently and take initiative
- Ambitious, persistent, dependable, and highly motivated

- Ability to maintain confidentiality and professionalism when handling sensitive information
Schedule
9:00 AM – 5:00 PM
3–5 days per week, based on agency needs and candidate availability.
Preferred / Additional Qualifications
The following are a plus but are not required:
- Bilingual in Spanish
- Knowledge of the Early Intervention Program
- Knowledge of NYEIS
- Experience with ProviderSoft
- Previous case management or administrative experience in a healthcare, education, social services, or Early Intervention setting
