We are looking for a highly reliable and detail-oriented Finance Operations Administrator / Bookkeeper to support the day-to-day financial operations of a growing multi-entity business.
This is not a general virtual assistant role.
We are looking for someone who enjoys accurate, process-driven work, follows through on problems, checks their own work carefully, and can gradually take ownership of increasingly complex finance activities.
What You Will Do
You will support recurring finance operations such as:
Preparing billing and customer reports
Accounts receivable follow-up
Accounts payable administration
Bank and transaction reconciliation support
Reviewing invoices and supporting documentation
Updating financial and operational spreadsheets
Processing tasks received through our ticketing/workflow systems
Investigating discrepancies rather than simply closing tasks
Contacting customers or internal team members when information is missing
Maintaining accurate records and documentation
Following written procedures and checklists
Providing a short daily summary of completed work, open issues, and anything requiring attention
Over time, strong performers will be given broader ownership and more complex finance responsibilities.
What We Care About Most
We care more about reliability, accuracy and ownership than impressive credentials.
You should be someone who:
Checks your own work before submitting it
Notices when numbers do not make sense
Follows a process consistently
Raises questions rather than guessing
Takes responsibility for solving a problem from beginning to end
Communicates clearly when something is blocked
Keeps commitments and deadlines
Learns new systems quickly
Is comfortable working independently
Wants to grow into more responsibility over time
Experience
Ideally you have:
2+ years in bookkeeping, accounting administration or finance operations
Experience with billing, AP, AR or reconciliations
Strong Excel or Google Sheets skills
Experience with QuickBooks, Xero or another accounting system
Experience working remotely with North American, Australian or international companies
Strong written and spoken English
A CPA or accounting designation is not required.

Reading Check
Put the keyword DISCREPANCY in your subject line — this tells us you actually read the post, not just the title.
1. This post lists several accounting systems by name. Which ones are mentioned?
2. Under "What We Care About Most," what should you do when you notice numbers that don't make sense, according to this post?
Questions
3. Tell us about a real reconciliation or AP/AR discrepancy you caught that someone else would likely have missed or closed out without investigating. How did you find it and resolve it?
4. What's your experience with ticketing or workflow systems (Zendesk, Freshdesk, Jira, or similar) for processing recurring finance tasks?
5. Which accounting system(s) have you used day-to-day (QuickBooks, Xero, or other), and for how long?
6. Desired hourly rate (USD) and how many hours per week can you commit?
AI Tools Loom (required)
Record a short Loom, max 5 minutes, showing one real example of using AI (Claude, ChatGPT, or similar) to catch a discrepancy, speed up a reconciliation, or clean up a spreadsheet or report. Walk us through what you asked it to do and what you checked before trusting the output.
If you haven't used AI this way yet, use the Loom instead to walk through, step by step, how you'd investigate a mismatched invoice or an AP/AR discrepancy. We're evaluating your process, not your AI experience.
