POSITION SUMMARY

The Facilities Manager provides strategic leadership for the credit union’s facilities, building systems, branch environments, and long-term space needs. This role is responsible for leading the facilities technician team, overseeing daily operations, managing vendors, and ensuring all locations are safe, efficient, well maintained, and aligned with organizational needs. The Facilities Manager leads facility-related projects, including new branch builds, remodels, space planning, system upgrades, and modernization efforts. This individual uses data, technology, vendor partnerships, and continuous improvement practices to improve service delivery, reduce costs, strengthen operational controls, and support a positive experience for members and team members.

POSITION RESPONSIBILITIES

Lead the facilities function with responsibility for daily operations, long-term planning, building systems, vendor performance, project delivery, and team effectiveness across all locations.

Lead, coach, and develop the facilities technician team by setting clear expectations, prioritizing work, monitoring performance, supporting growth, and creating a culture of accountability, safety, service, and continuous improvement.

Coordinate and manage recurring maintenance tasks for all facilities, ensuring work is completed timely, consistently, and with strong internal service standards.

Oversee building systems including HVAC, plumbing, electrical, janitorial services, grounds, snow removal, and other facility-related systems, ensuring proper function and quick resolution of issues.

Conduct regular inspections, assess facility conditions, identify root causes of recurring issues, and make informed recommendations on repairs, replacements, upgrades, preventive maintenance, and capital improvements.

Collaboratively lead facilities projects from concept through completion, including new branch builds, remodels, relocations, space planning, building improvements, project plans, cost estimates, business cases, vendor coordination, timelines, budgets, risks, and stakeholder communication.

Partners with executive leadership, branch leadership, technology, security, marketing, finance, and operations to ensure facility projects support member experience, team member productivity, brand standards, safety, and strategic growth.

Develop and maintain a multi-year facilities roadmap that anticipates growth, branch needs, deferred maintenance, safety requirements, capital improvements, and technology modernization opportunities.

Develop and manage the facilities budget, including maintenance, repairs, service agreements, capital expenses, project costs, and cost-saving opportunities.

Manage contractor and vendor relationships, including selection, bidding, negotiation, onboarding, service expectations, performance evaluation, issue resolution, and contract recommendations.

Evaluate and recommend solutions that improve facilities operations.

Use data, service trends, team feedback, facility condition information, and performance measures to identify process improvements, reduce manual work, improve response times, strengthen visibility, and improve internal service delivery.

Maintain detailed maintenance, repair, inspection, vendor, and project records to support safety, compliance, budgeting, and operational decision-making.

Serve as the backup to the credit union’s appointed Physical Security Officer, supporting access control systems, surveillance, alarm systems, and other related response needs.

Act as the primary contact for emergency facilities issues, including after-hours response, vendor coordination, communication, and follow-up.

Manage Real Estate Owned properties from sheriff’s sale through final sale, including vendor coordination, maintenance, risk management, and communication with internal partners.

Act as the liaison with regulatory agencies, inspectors, vendors, and internal partners related to facility operations, physical safety, and compliance requirements.

With a focus grounded in servant leadership, foster a positive, collaborative team environment that supports cross-functional needs, encourages practical innovation, and improves the experience of team members and members.

EDUCATION AND EXPERIENCE

Degree in facilities management, construction management, business, engineering, project management, or a related field preferred.

-
Five years of facilities management, building operations, construction management, or related multi-site facility experience.

-
Three years of people leadership experience, including responsibility for coaching, work prioritization, performance management, and team development.

-
Demonstrated experience leading construction, remodel, relocation, space planning, or other complex facility projects from planning through completion.

-
Experience developing budgets, capital plans, project plans, vendor strategies, business cases, cost estimates, and executive-level recommendations.

-
Experience using or evaluating facilities management technology, work order systems, preventive maintenance tools, vendor management platforms, reporting tools, or other digital solutions preferred.

Financial institution, retail branch, multi-site, or highly regulated industry experience preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Work Environment: The position operates in both office and field environments. While some duties are performed in a typical business office setting with moderate noise level, the role also requires regular work in and around facilities, including mechanical rooms, rooftops, and outdoor areas. The facilities manager may be exposed to varying weather conditions and temperature extremes when performing duties outside.

- Physical Requirements: This role requires a combination of sedentary and physically active tasks. The Facilities Manager must be able to sit or stand for extended periods, regularly walk throughout facilities, and frequently bend, kneel, crouch, climb ladders, and reach with hands and arms. The team member must be able to lift, carry, and move items weighing more than 50 pounds. Use of tools, equipment, and machinery may be required.
