Job Summary:
The Temporary Junior Project reports to the Accounting Supervisor and may receive daily assignments and training from designated Project Accountants. The primary focus of the position is to support the Project Accounting team with project set up, draft billing, billing documentation, accounts receivable follow-up, and project record maintenance. The assignment duration depends on business needs. Continued or permanent employment may be considered based on performance and available opportunities but is not guaranteed.
Key Responsibilities:
1. Project Accounting and Reporting Support:
- Enter and track project invoices, purchase orders, and payment records following established procedures.
- Assist with project setup, prepare routine job cost reports, and flag discrepancies for supervisor review.
- Assist with project account reconciliations, cost allocations, and expense tracking under supervision.
- Assist in month-end and year-end financial closings.
2. Preliminary Notice and Lien Documentation Support:
- Assist with preliminary notice preparation and distribution using approved procedures and supervisor review.
- Maintain preliminary notice and lien release logs; follow up on missing documents as directed.
- Refer notice, lien release, and related questions to the supervisor or designated compliance contact.
3. Accounts Payable and Receivable Support
- Assist with draft client billings and verify vendor or subcontractor invoices against approved records.
- Track billing approvals and outstanding receivables; perform routine follow-up and document responses.
- Research routine billing discrepancies and escalate unresolved issues to the Accounting Supervisor.
4. Contract and Compliance Support
- Organize client, vendor, and subcontractor agreements and confirm required documents are on file.
- Maintain financial documentation and records for audits and project closeouts.
- Collect supporting records for prevailing wage reporting and certified payroll when assigned.
5. Internal Coordination & Communication:
- Work with project managers to obtain billing approvals, missing records, and project information.
- Notify the supervisor of overdue approvals, missing documentation, and unusual project charges.
- Provide requested records for audits and complete other related accounting duties as assigned.
Skills & Qualifications:
- Basic understanding of accounting principles; interest in learning project accounting and job costing.
- Willingness to learn preliminary notice and lien release documentation procedures.
- Comfort using accounting software; Acumatica experience preferred, with training provided as needed.
- Working knowledge of Microsoft Excel, including formulas, sorting, and filtering; lookup functions and pivot tables are a plus.
- Strong attention to detail, accurate data entry, and ability to organize tasks and meet deadlines.
- Strong written and verbal communication skills.
Education & Experience:
- Accounting coursework or an associate degree in Accounting, Finance, or a related field preferred.
- 0–2 years of accounting, bookkeeping, billing, or related administrative experience; relevant coursework or internships considered.
- Construction or professional services experience and familiarity with project billing are a plus.
Work Location and Schedule:
· You will be assigned to one office
· Must be available to work form either location
· This position is fully onsite
· Schedule is Monday though Friday (8-5)
· This s a full time temporary, onsite position assigned to either the Pomona or Signal Hill Office
