Job Overview
We are seeking an adaptable, detail-oriented Administrative & Bookkeeping Assistant to support our growing association management team. In this dynamic role, you will report directly to the CEO and the Chief Financial Officer / Bookkeeper, serving as a critical operational anchor on-site at our Fort Morgan office.

Key Responsibilities
- Financial & Bookkeeping Support: Assist the CFO with accounts payable/receivable, invoice processing, dues tracking, bank reconciliations, and financial recordkeeping.
- Portfolio Operations: Support leadership with daily operational tasks, vendor tracking, maintenance request logging, and community communications.
- Project Assistance: Coordinate schedules, compile documentation, and follow up on active capital improvement or maintenance projects across properties.
- Administrative & Owner Services: Field phone calls, respond to owner/resident inquiries, manage correspondence, and maintain clean, organized digital records.
- General Support: Adapt flexibly to urgent, day-to-day administrative needs as they arise.
Qualifications & Requirements
- Keen Attention to Detail: High accuracy and precision in data entry, recordkeeping, and communication (MUST HAVE).
- Professional Mannerisms: A polished, dependable, and welcoming demeanor with strong written and verbal communication skills.
- Thrives in a Fast-Paced Environment: Comfortable multitasking, staying organized, and prioritizing tasks as new priorities pop up.
- Eagerness to Learn: A proactive mindset and a desire to learn property management software, accounting workflows, and industry best practices.
- Reliable Schedule & Commute: Ability to work on-site in Fort Morgan, AL during set hours (Mon–Fri, 9 AM – 4 PM).
- Basic Computer Skills: Comfortable navigating spreadsheets, email, and everyday software programs.
Bonus Skills (Not Required — Will Be Learned On the Job, Experience a Plus):
- Bookkeeping & Financial Recordkeeping: Exposure to basic accounting, bookkeeping, or financial recordkeeping.
- Property Management Knowledge: Familiarity with association management (HOA/COA), real estate, or property management workflows.
- Software Proficiency: Experience with Excel, Microsoft Office, or industry-specific management/accounting software.
