We are looking for an Assistant Project Manager who can help coordinate electrical construction projects from initial planning and project turnover through completion and closeout. This position works closely with Project Managers, field leadership, accounting, customers, general contractors, vendors, subcontractors, and other project stakeholders to keep projects organized, properly documented, on schedule, and financially on track.

Position Summary

The Assistant Project Manager supports the planning, coordination, financial management, and execution of Tesla Electric's electrical construction projects.

This position serves as an important link between the office and field and assists with project planning, scheduling, procurement, contract administration, cost tracking, change management, billing, technical documentation, safety, quality control, and project closeout.

The Assistant Project Manager is expected to develop an understanding of the complete project lifecycle, including estimating and project turnover, contract requirements, project setup, procurement, field execution, cost control, billing, change-order management, and closeout.

The successful candidate will be organized, dependable, detail-oriented, and comfortable working in a fast-paced construction environment. This position requires the ability to manage multiple priorities, identify issues early, communicate effectively, and take ownership of assigned responsibilities.

Essential Duties and Responsibilities

Project Planning and Coordination

- Assist Project Managers with planning, scheduling, budgeting, coordinating, and administering electrical construction projects from startup through closeout.

- Participate in estimate-to-project turnover meetings to understand project scope, assumptions, exclusions, labor budgets, material budgets, subcontract requirements, and other factors used to establish the project estimate.

- Review project contracts, electrical drawings, specifications, estimates, schedules, scopes of work, submittals, and other technical documents to understand project requirements and deliverables.

- Assist with project setup, including schedules, milestones, budgets, cost codes, procurement requirements, documentation requirements, billing requirements, and project-specific procedures.

- Coordinate with Project Managers, field supervisors, electricians, accounting, vendors, subcontractors, customers, and other project stakeholders.

- Coordinate electrical work with the overall construction schedule and assist in identifying sequencing conflicts, access restrictions, prerequisite work, and conditions that could affect Tesla Electric's ability to perform scheduled work.

- Participate in project meetings and communicate professionally with owners, general contractors, engineers, inspectors, vendors, subcontractors, and internal personnel.

- Prepare and distribute meeting notes, project status reports, action items, and other project communications as required.

- Visit jobsites as necessary to review progress, coordinate project activities, obtain information, resolve issues, and support field operations.

Project Documentation and Contract Administration

- Maintain accurate and organized project files, correspondence, reports, drawings, specifications, submittals, RFIs, change orders, purchase orders, subcontract documents, meeting records, and closeout documentation.

- Assist with the preparation, review, submission, and tracking of RFIs, submittals, change orders, and other project-control documents.

- Review engineering drawings, specifications, product data, and vendor documentation for completeness and consistency with project requirements.

- Review project contract requirements and assist with tracking required notices, documentation deadlines, submittals, billing requirements, change-order requirements, and other contractual deliverables.

- Maintain current project information and help ensure the office and field are working from the appropriate drawings, specifications, and approved project documents.

- Maintain confidentiality of company, employee, customer, financial, and project information.

Scheduling and Field Support

- Assist in developing and maintaining project schedules, milestones, procurement schedules, and required completion dates.

- Monitor project progress and communicate upcoming deadlines, delays, material constraints, scheduling conflicts, and other concerns to the Project Manager and field leadership.

- Coordinate with Project Managers and field leadership regarding manpower requirements, labor hours, productivity, materials, equipment, and upcoming work.

- Compare actual labor performance to project estimates and budgets and communicate significant variances or concerns.

- Review field reports, timekeeping information, material usage, and other project records for completeness and accuracy.

- Assist with identifying technical issues, project risks, and field conditions that could affect cost, quality, safety, or schedule.

- Work with the Project Manager and field leadership to research and coordinate solutions to project and field issues.

Procurement and Material Management

- Coordinate the purchase and delivery of electrical materials, equipment, tools, and project supplies.

- Work with vendors to obtain pricing, verify product requirements, confirm availability, review documentation, monitor lead times, and coordinate deliveries.

- Support procurement activities and help verify that materials and equipment comply with project drawings, specifications, approved submittals, and other requirements.

- Maintain awareness of long-lead electrical materials and equipment, including switchgear, transformers, panels, generators, lighting, controls, and other critical project components.

- Track critical equipment through submittal approval, release, fabrication, shipping, delivery, and required-on-site dates.

- Identify potential procurement or delivery delays and communicate possible schedule impacts to the Project Manager and field leadership.

- Assist with confirming critical materials and equipment are received, documented, and available when required for installation.

Change Management

- Assist with identifying, documenting, and tracking changes in project scope.

- Help ensure field-directed work, owner or general contractor requests, drawing revisions, RFIs, and other changes with potential cost or schedule impacts are promptly documented and communicated.

- Track pending and approved change orders and associated labor, material, equipment, and subcontractor costs.

- Assist with preparing supporting documentation for change-order pricing.

- Maintain records supporting the reason, scope, cost, schedule impact, authorization, and status of project changes.

- Help ensure potential extra work is identified and communicated before costs are absorbed into the base project whenever practical.

Project Financial Responsibilities

The Assistant Project Manager is expected to develop a working understanding of the financial performance of assigned projects and assist the Project Manager with maintaining accurate and current project information.

Responsibilities include:

- Monitor project budgets, commitments, and actual costs.

- Review labor, material, equipment, subcontractor, and other project expenses.

- Assist with project cost tracking, cost-to-complete analysis, and forecasting.

- Compare actual project performance against estimates and established budgets.

- Monitor labor hours and labor costs against project budgets.

- Identify significant budget or productivity variances and communicate concerns to the Project Manager.

- Review purchase orders, invoices, and commitments for appropriate project and cost-code assignment.

- Verify subcontractor and vendor costs against purchase orders, subcontracts, and project commitments.

- Support preparation and review of progress billings, schedules of values, pay applications, and supporting billing documentation.

- Assist with monthly project billing and accounts receivable follow-up.

- Track pending and approved change orders and their effect on project contract value, costs, and profitability.

- Coordinate with accounting to ensure project costs, commitments, change orders, and billings are recorded accurately and timely.

- Maintain documentation supporting project revenue, costs, billing, change orders, and profitability.

- Assist with final project financial reconciliation by identifying outstanding purchase orders, vendor invoices, subcontract commitments, change orders, billings, and remaining project costs before financial closeout.

Safety and Quality Responsibilities

Safety and quality are responsibilities shared by every Tesla Electric employee. The Assistant Project Manager is expected to:

- Promote and follow Tesla Electric's safety standards, policies, and procedures.

- Support project-specific safety planning and documentation.

- Assist with Job Hazard Analyses (JHAs) and other project safety requirements.

- Review and maintain required project safety documentation.

- Communicate known hazards, unsafe conditions, or safety concerns to appropriate personnel.

- Work with Project Managers and field leadership to address safety documentation and compliance requirements.

- Follow applicable OSHA requirements, customer requirements, and Tesla Electric safety policies.

- Support Tesla Electric's quality-control requirements.

- Assist in ensuring completed work complies with project drawings, specifications, applicable codes, approved submittals, and contractual requirements.

- Assist with tracking required permits, inspections, testing, and commissioning activities.

- Coordinate documentation associated with inspections, testing, deficiencies, corrective actions, and project acceptance.

Project Closeout

- Assist with project punch-list development, tracking, and completion.

- Coordinate required testing and commissioning documentation.

- Assist with preparation and submission of as-built drawings and record documents.

- Coordinate warranties, operation and maintenance manuals, equipment information, training documentation, and other required closeout materials.

- Assist with obtaining required final inspections and project acceptance documentation.

- Track outstanding closeout requirements through completion.

- Support final billing and financial closeout.

- Assist with reconciliation of outstanding purchase orders, vendor invoices, subcontract commitments, change orders, and remaining project costs.

- Help ensure project documentation is complete and properly organized before the project is closed.

Qualifications

- Demonstrate and support Tesla Electric's standards for safety, quality, integrity, accountability, and teamwork.

- Bachelor's degree in Engineering, Construction Management, Business, or a related field preferred. Relevant construction or project experience may be considered in place of formal education.

- One to five years of electrical construction, engineering, project coordination, project management, or related experience preferred.

- Electrical, commercial, or industrial construction experience preferred.

- Ability to read and interpret electrical drawings, engineering documents, specifications, scopes of work, and technical information.

- Strong organizational, analytical, and problem-solving skills.

- Strong attention to detail and commitment to accurate documentation and recordkeeping.

- Ability to manage multiple projects, responsibilities, priorities, and deadlines.

- Strong written and verbal communication skills.

- Ability to communicate professionally with customers, general contractors, engineers, field personnel, vendors, subcontractors, and management.

- Working knowledge of construction scheduling, cost tracking, procurement, submittals, RFIs, change orders, billing, and project closeout.

- Ability to identify project risks and potential problems and communicate them before they negatively affect cost, quality, safety, or schedule.

- Proficiency with Microsoft Office, particularly Excel and Word.

- Proficiency with or ability to learn Bluebeam Revu.

- Experience with construction project-management, estimating, scheduling, accounting, or document-management software is preferred.

- Ability to work independently while also functioning effectively as part of a project team.

- Ability to maintain professionalism and confidentiality when handling sensitive project and company information.

- Valid driver's license and ability to travel to project locations as required.

- Ability to meet Tesla Electric's employment and jobsite requirements.

Supervisory Responsibilities

This position may assist Project Managers and field leadership with coordinating project personnel, subcontractors, and vendors. Direct supervisory responsibilities will depend on the size and structure of the assigned project.

Work Environment and Physical Requirements

This position includes both office and active construction-site responsibilities. Employees may be exposed to varying weather conditions, noise, uneven surfaces, electrical equipment, construction equipment, and other conditions normally associated with electrical construction.

The position may require:

- Regular computer and office work.

- Walking and standing on active construction sites.

- Wearing required personal protective equipment (PPE).

- Navigating stairs, uneven surfaces, and construction areas.

- Occasional lifting and handling of project documents, materials, or equipment within reasonable limits of the position.

- Travel to project sites as required.

- Occasional work outside normal business hours, including early mornings, evenings, or weekends, depending on project requirements.

An Assistant Project Manager should progressively develop the knowledge and experience necessary to manage projects through the complete lifecycle—from estimate and project turnover through procurement, construction, financial management, billing, and final closeout.
