We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a wide range of events. Duties
- Collaborate with clients & HOA executives to understand their event goals, preferences, and budgets, providing expert guidance on event marketing and planning strategies
- Develop comprehensive event plans, including timelines, budgets, vendor coordination, and venue arrangements using event management software and CRM systems
- Negotiate contracts with vendors such as caterers, decorators, entertainment providers, and venue staff to secure the best terms and value
- Manage event budgets meticulously, tracking expenses and optimizing resources to maximize value through upselling opportunities and cost-effective solutions
- Oversee all logistical details including catering arrangements, banquet setups, guest services, technical requirements, and compliance with safety standards
- Lead a team of staff or vendors during events to ensure smooth execution while maintaining high standards of customer service and hospitality
- Conduct post-event evaluations to gather feedback for continuous improvement and foster strong client relationships for future collaborations
Experience
- Proven experience in event planning or management within the hospitality industry or related fields
- Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint) for planning documents and presentations
- Familiarity with event management software platforms to coordinate logistics efficiently
- Demonstrated ability in managing event budgets, contracts, and vendor negotiations with excellent attention to detail
- Exceptional communication skills for client interaction, team leadership, and stakeholder engagement
- Experience in upselling services or products to enhance event offerings and increase revenue opportunities
- Knowledge of guest services operations such as catering, banquet setup, and hospitality best practices
- Ability to multitask effectively while maintaining organizational skills and time management under pressure
