The advisor is seeking an experienced operations professional to help strengthen the firm's infrastructure and support continued growth.
Position Overview
The Director of Operations serves as the operational leader and primary client service contact for the firm. This individual will oversee day-to-day operations, support client onboarding and account implementation, and drive process improvements that enhance efficiency and the overall client experience.
This is a highly visible, client-facing role requiring regular interaction with clients, attorneys, accountants, and insurance carriers. This position serves as a central point of coordination among clients' legal, tax, and professional advisors, helping ensure a cohesive and strategic approach to planning. Given its significance, the role demands the utmost integrity, professionalism, and discretion. Additionally, the ideal candidate is proactive, detail-oriented, adept at managing project timelines, displays strong organizational abilities, and is committed to delivering exceptional service while ensuring operational excellence.
This role is Full-Time (40 hours per week), Monday through Friday, 8:00 AM to 5:00 PM CT, and is fully remote.
What You'll Do
- Serve as a primary point of contact for client service needs and ongoing support
- Manage client onboarding and investment and insurance account opening processes
- Coordinate communication with insurance carriers and underwriting teams
- Prepare meeting materials and manage appointment scheduling
- Maintain reporting, data integrity, and operational workflows across systems
- Support and improve existing business processes and procedures
- Identify and implement workflow enhancements that improve efficiency and scalability
- Manage projects and ensure timely execution of operational initiatives
- Utilize technology and AI tools to improve productivity and client service; training is provided on our platforms, including Microsoft Copilot, Zocks, and Parrot AI
Qualifications
- Financial services industry experience required
- Experience supporting a financial advisor, wealth management firm, or financial planning practice preferred
- Experience with client onboarding, account opening, and operational workflows
- Knowledge of investment and insurance products preferred
- Strong client service, communication, and relationship management skills
- Excellent project management, organization, and follow-through
- Proficiency with CRM systems, Microsoft Office, and operational technology platforms
- Ability to manage multiple priorities while maintaining exceptional attention to detail

What the Advisor Offers
- Competitive Salary: $70,000 - $75,000, based on experience
- Discretionary bonus of up to $10,000 annually, paid quarterly, based on performance against agreed objectives
