Position Summary

Millennium Medical Group, LLC is seeking a Human Resources Administrative Assistant to support the HR department with daily administrative operations, employee relations, recruitment, onboarding, personnel documentation, and compliance activities.

The ideal candidate is organized, dependable, detail-oriented, professional, and comfortable handling confidential employee information. This position requires strong communication skills, the ability to multitask, and a commitment to maintaining accurate and timely HR records.

Key Responsibilities

Human Resources

- Assist the HR department with daily administrative and personnel functions.

- Maintain and organize confidential employee personnel files and records.

- Assist with employee onboarding, new-hire paperwork, and orientation.

- Process and maintain employee documentation, including certifications, training records, and employment forms.

- Assist with employee status changes, transfers, resignations, and terminations.

- Prepare employment verification letters and other HR correspondence.

- Assist with attendance tracking and employee documentation.

- Maintain accurate HR databases and spreadsheets.

- Assist with disciplinary documentation and personnel notes.

- Respond to employee questions and direct concerns to the appropriate HR representative.

- Maintain confidentiality of employee, patient, and company information.

Recruitment & Hiring

- Review applications and resumes.

- Contact candidates to schedule interviews.

- Assist with the hiring and onboarding process.

- Track applicants and hiring documentation.

- Follow up with candidates regarding required employment documents and certifications.

- Assist with background checks, fingerprinting, CPR certifications, and other pre-employment requirements as applicable.

Compliance & Documentation

- Assist with maintaining employee compliance files.

- Track expiration dates for required certifications and credentials.

- Assist with preparing documentation for internal audits and compliance reviews.

- Ensure HR records are complete, accurate, and properly organized.

- Assist with unemployment claims and employment verification requests.

- Handle sensitive information in accordance with company confidentiality and HIPAA requirements.

Administrative Support

- Answer phones, emails, and employee inquiries professionally.

- Prepare correspondence, forms, spreadsheets, and reports.

- Assist with payroll-related administrative documentation as needed.

- Coordinate meetings, interviews, and HR appointments.

- Maintain organized digital and physical filing systems.

- Provide general administrative support to the HR department and management.

Qualifications

- High school diploma or equivalent required.

- Previous experience in Human Resources, healthcare administration, office administration, or a related field preferred.

- Strong organizational and time-management skills.

- Excellent verbal and written communication skills.

- Proficiency with Microsoft Office, including Word, Excel, and Outlook.

- Ability to maintain strict confidentiality.

- Strong attention to detail and accuracy.

- Ability to multitask and prioritize responsibilities.

- Professional and dependable.

- Ability to work independently and as part of a team.

- Experience with healthcare or home healthcare operations is a plus.

- Bilingual English/Spanish preferred.
