You're the kind of person who can't leave a number alone until it makes sense, and you don't let the admin side of the day slide just because it's less exciting than the financial side. You keep schedules, deliveries, and the books all moving at once, and nothing falls through the cracks on your watch.
About the Role
We're a small team, doing high-end building and remodeling projects, mostly on Bainbridge Island. This role covers real ground: part financial (reconciliations, invoicing, job costing) and part administrative (scheduling, tracking deliveries, keeping subcontractors and surveyors on track). You'll be the person making sure the details behind the scenes are handled so the crews and PMs can focus on the build. We'll tell you more about us if this role looks interesting!
Schedule: Monday-Friday, 8:00am-4:00pm
Location: Bainbridge Island (on-site)
Pay: Around $80,000/year, depending on experience
What You'll Do
- Reconcile credit cards and expenses across multiple employee cards, and catch anything that's off, duplicated, or coded to the wrong job before it becomes a problem
- Track time cards by job and help with client invoicing and purchase reconciliation
- Code costs to the correct job and phase, and sanity-check against budget.
- Use Excel to track and report financial data
- Schedule appointments, track product deliveries, and keep subcontractor schedules on track
- Coordinate with survey companies and follow up so projects keep moving
- Handle the general day-to-day financial related admin that comes with running a small, busy team
- Spot problems early and bring solutions, not just questions
What We're Looking For
- Experience with QuickBooks and Excel (basic formulas), or similar tools
- A track record of staying organized when priorities shift fast
- Sharp attention to detail, especially with numbers - if something doesn't add up, you notice
- Strong organizational skills - you build systems, you don't just react to messes
- Good judgment - you sanity-check numbers against context (budgets, job phases, prior entries) instead of just entering and moving on
- Clear communicator - you can explain a discrepancy or a budget issue in plain terms
- Comfortable managing multiple active jobs and shifting priorities at once
- Construction or job-costing experience is a plus, but a genuinely careful, organized approach matters more
Comp & Benefits
- Around $80,000/year, depending on experience
- 1 week paid vacation after 6 months, 2 weeks after 1 year
- Company sponsored health plan not available
- Optional 401(k)
