Documentation Management Specialist
Location: Irving, Texas (Onsite - Open to hybrid)
Duration: 12-month contract to start with strong chance of ongoing extension and/or conversion
Our client is seeking a Documentation Management Specialist to support a long-term data transition project within the food and beverage retail industry. This role will focus on data entry, migration, cleanup, validation, and documentation, while coordinating with cross-functional teams and external suppliers to ensure accurate and timely transfer of information.

This role involves data entry, data migration, and data cleanup as part of a larger transition project. You will also be responsible for facilitating communication with cross-functional team members and external suppliers/partners to ensure a seamless transfer of information.
What You’ll Do
- As a Documentation Management Specialist, you'll be involved in data entry, data migration, and data cleanup as part of a larger transition project. You will also be responsible for facilitating communication with cross-functional team members and external suppliers/partners to ensure a seamless transfer of information.
- Ideal candidates will have the ability to quickly learn new software to analyze and organize data into reports for management review. Candidates will leverage Excel for pulling data and organizing reports, and will also be trained on Oracle PLM and TraceGains.
- Strong attention to detail and organizational skills are required.
Key Responsibilities
- Request and collect product specification data from suppliers, including nutrition information, ingredient statements, allergens, claims, and other required product characteristics.
- Pull product information from supplier websites or supplier programs, access the company specification system, or use spreadsheets provided by company personnel, including product developers.
- Analyze and organize data into reports for management review.
- Perform accurate and detailed data entry to support the migration of information from Oracle PLM to TraceGains.
- Assist in the cleanup and validation of current data to ensure accuracy and completeness.
- Collaborate with internal teams and external partners to gather necessary data and ensure smooth transitions.
- Contact suppliers regarding discrepancies and work with the company specification system, product development managers, or other company personnel to clarify and resolve issues.
- Facilitate communication between cross-functional teams and suppliers to update data as needed.
- Support the development and delivery of training programs for new system users.
- Act as a point of contact for user inquiries, providing ongoing support and guidance.
- Develop nutritional panels and other required labeling information.
- Format and send final layout information to applicable parties.
Required Skills & Experience
- Proficiency in Microsoft Office Suite (Word, Excel, Teams) and quick adaptability to data management tools (e.g., TraceGains, Oracle PLM).
- Background in QA with a B.S. in Food Science, Nutrition, or a related field (Preferred)
- Preferred experience in a food manufacturing or laboratory environment.
- Strong understanding of FDA/USDA regulatory standards.
- Experience with SaaS implementation and data migration processes, preferred.
- Excellent attention to detail, organizational skills, and the ability to work independently.
- Effective communication skills for collaboration with both internal teams and external partners.
