Position Summary
The Office Administrator plays a central role in the day-to-day operations of our firm, providing administrative support to recruiters and leadership while serving as the first point of contact for candidates, clients, and visitors. This role requires excellent organizational skills, discretion with confidential information, and the ability to juggle multiple priorities in a fast-paced, relationship-driven environment.
Key Responsibilities
- Serve as the primary point of contact for incoming calls, emails, and office visitors, providing a professional and welcoming first impression
- Manage calendars, schedule interviews and client meetings, and coordinate travel arrangements as needed
- Maintain and update candidate and client records in the firm's applicant tracking system (ATS) / CRM
- Prepare, proofread, and format correspondence, candidate submissions, and client-facing documents
- Assist recruiters with job posting management, resume formatting, and interview coordination
- Order and manage office supplies, equipment, and vendor relationships
- Handle incoming and outgoing mail, packages, and deliveries
- Support billing, invoicing, and basic bookkeeping tasks in coordination with accounting/finance
- Organize firm events, meetings, and candidate/client appreciation activities
- Maintain confidentiality of sensitive candidate, client, and firm information
- Assist with onboarding of new employees, including setting up workstations and access
- Perform general office upkeep to ensure a clean, professional environment
- Take on additional administrative projects as assigned
Qualifications
- Associate's or Bachelor's degree preferred; equivalent professional experience will be considered
- 2+ years of experience in an administrative, office management, or executive support role; experience in a legal, recruiting, or professional services environment is a plus
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with ATS/CRM platforms is a plus
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail and follow-through
- Ability to manage multiple tasks and shifting priorities under deadline pressure
- Professional demeanor and strong interpersonal skills
- High level of discretion and sound judgment when handling confidential information
- Self-starter who works well independently and as part of a collaborative team
