We’re looking for a highly proactive and ownership-driven Assistant Property Manager to support day-to-day operations across a growing property portfolio.
This is not a traditional support role. We are looking for someone who can take full ownership of workflows, prioritize effectively, and drive tasks to completion with minimal oversight.
Responsibilities:
Own Daily Operations
- Take full ownership of property management workflows from start to finish
- Manage and prioritize multiple workstreams simultaneously
- Ensure tasks are completed on time and to standard without constant supervision
Communication & Inbox Management
- Own inbound communication and shared inbox management
- Triage and resolve requests, route appropriately, or escalate when necessary
- Maintain fast response times and clear, professional communication
Tenant & Leasing Coordination
- Act as a primary point of contact for tenant communication
- Manage leasing workflows including inquiries, applications, and documentation
- Coordinate onboarding and move-in processes
Maintenance & Turn Coordination
- Oversee maintenance workflows and ensure timely completion of work orders
- Coordinate vendors, track timelines, and ensure quality execution
- Manage unit turns, inspections, and readiness processes
Documentation & System Management
- Maintain accurate and audit-ready records in the property management system
- Track follow-ups, deadlines, and task completion
- Ensure all communication and updates are properly logged
Problem Solving & Escalation
- Assess situations, propose solutions, and take action independently when appropriate
- Escalate issues with full context, recommendations, and next steps
- Identify inefficiencies and proactively improve processes
Requirements:
- 2+ years of proven experience in Property Management as an Assistant Property Manager or Junior Property Manager
- Experience with Property Management Systems
- Strong ownership mindset - you take responsibility for outcomes, not just tasks
- Clear, structured, and confident communication (written and verbal)
- Proven decision-making ability in fast-paced or ambiguous environments
- Strong organizational skills and attention to detail
- Comfortable working under pressure without constant direction
- Proficiency in Google Workspace (Docs, Sheets, Gmail)
- Familiarity with communication tools
