About The Role

The Content Operations Specialist manages cross-functional operational processes for content in the Japan market, from post-deal-close contract execution, rights and licensing registration, vendor onboarding, and payment setup through asset delivery, metadata preparation, and distribution readiness.

This 12 month Keiyaku Shain role spans both Production Operations and Deal Operations, and is accountable for ensuring that contracts, rights, payments, production information, assets, metadata, and release data are accurately and timely transferred across relevant systems and teams.

You will work closely with Business Affairs, Content Acquisition, Legal, Production, Finance, Catalog, Marketing, and global Operations teams to translate agreed-upon deal terms into precise operational workflows and drive the operations required to bring each title to production- and distribution-ready status. This role focuses on the accurate operational implementation of agreed terms and the continuous improvement of supporting processes.

You will leverage AI and digital tools to build and improve an operational foundation capable of processing high volumes of contract, production, rights, payment, and distribution data efficiently and accurately. This is a 12 month Keiyaku Shain located onsite in our Tokyo office.

As the Content Operations Specialist you will...

- Coordinate the workflow from post-deal-close through contract execution, document archiving, data registration, rights configuration, and initiation of downstream processes

- Register and update contract terms, rights, licenses, territories, exclusivity, distribution windows, payment terms, and related information accurately in relevant systems

- Coordinate with Business Affairs and Legal on documents, approvals, signatures, and amendments required for contract execution

- Conduct vendor onboarding for publishers, creators, licensors, production companies, and studios, ensuring all information required for payment and production initiation is in place

- Coordinate with Finance to manage payment setup, submissions, and exceptions for advances, production fees, license fees, and other contractual payments

- Maintain a cross-functional view of the Japan market production slate, release calendar, production status, asset delivery, and distribution readiness, partnering with Production Specialists to confirm production-start prerequisites are met

- Track delivery status of final audio, artwork, metadata, credits, rights data, and promotional assets, and verify consistency across contract terms, deliverables, and distribution settings

- Confirm that all required contracts, rights, audio, artwork, metadata, and payment configurations are complete by the scheduled distribution date, escalating discrepancies as needed

- Investigate exception cases including data gaps, rights configuration errors, payment holds, missing assets, and release delays, and drive resolution with relevant teams

- Visualize and report on operational KPIs including processing volumes, lead times, error rates, backlog, and on-time completion rates

- Identify manual processes, duplicate data entry, and data quality issues within workflows, and execute improvement initiatives including updated SOPs, checklists, templates, and escalation rules

- Leverage AI and automation tools to optimize contract processing, rights verification, progress tracking, and reporting, while ensuring compliance with copyright, confidentiality, data protection, and internal policies

Basic Qualifications

- 5+ years of professional experience in content operations, production operations, deal operations, contract management, rights/licensing management, publishing, digital media, entertainment, content distribution, or a related industry

- Experience managing operations across multiple domains including contracts, rights, vendors, payments, production, assets, metadata, or distribution data

- Experience translating agreed-upon deal terms and business requirements into concrete operational actions such as system registration, payment configuration, and distribution setup

- Experience processing and managing high volumes of data accurately and within deadlines, with high attention to detail for critical information such as contracts, rights, and payments

- Experience collaborating across multiple functions to drive operational outcomes

- Ability to analyze complex operational issues by organizing facts, contract terms, and system data, and to lead resolution end-to-end

- Experience with operational tools such as spreadsheets, databases, CMS, contract management systems, project management tools, BI, or workflow automation platforms, with a track record of driving process improvements

- High level of professional proficiency in Japanese, with the ability to understand contracts, rights, and operational requirements, coordinate with stakeholders, and resolve issues

- Ability to communicate in English for email, document review, meetings, and coordination with global teams

Preferred Qualifications

- Experience leveraging AI technologies (including generative AI) and digital tools to automate or improve operational processes, or demonstrated practical ability to do so

- Experience in audiobooks, publishing, audio content, digital distribution, or subscription services

- Experience handling rights information such as copyrights, licenses, distribution rights, territories, and contract terms

- Experience in vendor onboarding or payment operations (advances, royalties, production fees, license fees)

- Experience driving process improvement or automation using AI, RPA, SQL, Python, BI, or no-code/low-code tools

- Experience designing operational processes that bridge Japan-specific requirements with global standards
