About the Company
We are an established Greater Toronto Area IT solutions provider serving mid-market and enterprise clients across Ontario. We supply hardware — laptops, servers, storage, networking and peripherals — through tier-one national distributors, and deliver the services that go with it: structured cabling and fibre, AV and conferencing, networking and physical security installations. We are a lean, privately held team that is actively modernizing how it operates, including introducing AI and automation into our procurement and back-office processes.
The Role
The Business Operations Coordinator keeps the commercial engine running behind our sales team. You will own vendor relationships and procurement, coordinate customer and partner events, maintain the processes the team relies on, and work directly with management to pilot AI and automation tools that take manual work off the team’s plate. This is a broad, hands-on role in a small company — if you like owning a function and figuring out a better way, you will do well here.
Key Responsibilities
Vendor Management

• Serve as the primary day-to-day contact for distributors, manufacturers and service vendors — pricing, availability, deal registration and escalations.

• Track vendor performance, programs, rebates and authorizations; surface problem vendors to management with evidence.

• Support contract and terms renewals, and help negotiate improved pricing and payment terms.

Procurement & Order Operations

• Source and compare pricing across multiple distributors to secure the best landed cost, and turn that into accurate quotes for the sales team.

• Process purchase orders end to end — quote to PO to fulfilment to invoice — in our ERP system, with accuracy on pricing, tax and terms.

• Coordinate with logistics, receiving and accounting to keep orders moving and resolve discrepancies before they reach the customer.

• Maintain process documentation and produce weekly operational reporting on order status, margin and vendor performance.

Event Management

• Plan and run vendor lunch-and-learns, product training, customer events and trade shows end to end — logistics, invitations, materials and follow-up.

• Secure vendor co-op funding or sponsorship where available and manage the event budget against it.

AI & Process Improvement

• Work with management to identify manual, repetitive work across procurement, quoting and reporting that is a candidate for automation.

• Pilot AI and automation tools hands-on, document what works, and help implement and train the team on approved solutions.

• Act as a constructive skeptic — AI output gets validated before it reaches a customer or a purchase order.

What We’re Looking For
We care more about how you think and work than about where you have worked.

• Experience with an IT distributor, value-added reseller (VAR), MSP or technology solutions provider, including channel pricing and deal registration.

• Direct vendor or supplier management experience, and hands-on purchase order processing in an ERP or procurement system.

• A quick learner who is curious, agile and adaptable — you pick up a new system or process fast, move between a vendor call, a purchase order, an event and a pilot project without losing the thread, and want to grow with the company as the role expands.

• Resourceful and detail-oriented — you find the answer rather than wait for one, fix the process rather than work around it, and catch a pricing or tax error before it becomes a customer problem.

• Highly organized and a strong communicator — you manage competing deadlines across stakeholders without dropping threads, hold your own with a vendor rep, and write documentation others can follow.

• 2+ years in an operations, procurement, purchasing, administrative or sales support role, with solid Excel skills.

• Comfortable in a small-company environment with limited support infrastructure; able to work on-site in the GTA.

• Event planning experience — training sessions, customer events or trade shows.

• Hands-on use of AI assistants or workflow automation tools in a business setting.
