Job Description

Medical Receptionist

Job Type: Full-time | Monday-Thursday | 40 hours/week

Position Overview

Regeneration Pittsburgh is seeking a warm, organized, and professional Medical Receptionist to join our team.

As one of the first points of contact for our patients, the Medical Receptionist plays an important role in creating a welcoming and exceptional patient experience while helping our practice run smoothly each day. We’re looking for someone who communicates well, pays attention to the details, enjoys helping people, and is comfortable managing multiple priorities in a collaborative environment.

Responsibilities

- Greet patients warmly and provide professional, attentive customer service throughout their experience with our practice.

- Answer and respond to incoming phone calls, voicemails, emails, and faxes; document and route messages appropriately and follow up as needed.

- Schedule, confirm, reschedule, and coordinate patient appointments.

- Help manage the daily flow of appointments and communicate scheduling changes or needs with the clinical team.

- Complete patient check-in, including obtaining necessary paperwork, consents, documentation, and payments when applicable.

- Complete patient check-out, including collecting payment, scheduling follow-up appointments, and ensuring appropriate documentation is added to the patient record.

- Make outgoing patient calls, emails, and faxes as needed.

- Learn and effectively use our practice management and electronic health record systems, including Zenoti and Elation.

- Accurately enter and maintain patient, scheduling, and billing information and help identify and correct discrepancies when needed.

- Develop a general understanding of Regeneration Pittsburgh’s services and confidently provide patients and prospective clients with basic information about the practice.

- Perform established opening and closing procedures.

- Assist with additional administrative, operational, and patient-support tasks as needs arise within the practice.

- Proactively maintain front desk materials, paperwork, supplies, and other day-to-day needs.

- Communicate clearly and effectively with providers, practice leadership, and fellow team members.

- Assist with periodic inventory counts and other general office needs.

- Help maintain a clean, organized, and welcoming patient and front-office environment.

- Occasionally participate in practice marketing and social media content as appropriate.

- Represent Regeneration Pittsburgh in a professional, respectful, and positive manner at all times.

Qualifications

- High school diploma or equivalent required.

- Prior medical office or medical receptionist experience preferred.

- Prior customer service experience preferred.

- Strong interpersonal and communication skills, with the ability to interact with patients and outside organizations in a professional and courteous manner.

- Highly organized, dependable, and attentive to detail.

- Ability to manage multiple priorities while maintaining accuracy and professionalism.

- Comfortable learning and using computer-based systems and technology.

- Basic computer skills required; experience with Microsoft applications, practice management software, and/or electronic medical record systems preferred.

- Willingness and enthusiasm to learn about the services offered by Regeneration Pittsburgh.

- Ability to work collaboratively as part of a team.

- Ability to maintain patient and practice confidentiality.
