Role Description
As a Property Officer, you will be responsible for supporting the daily management, maintenance, administration, and operational performance of properties and facilities. You will coordinate with tenants, contractors, suppliers, service providers, and internal teams to ensure properties remain safe, compliant, well maintained, and efficiently operated.
Key responsibilities include:
- Coordinate day-to-day property operations, maintenance activities, repairs, inspections, and service requests.
- Conduct regular property inspections and identify maintenance, safety, cleanliness, and operational issues.
- Coordinate contractors, suppliers, and service providers to ensure work is completed according to agreed requirements and quality standards.
- Monitor maintenance schedules, service contracts, work orders, and property-related activities.
- Respond to tenant, occupant, or stakeholder requests and coordinate timely resolution of property-related issues.
- Maintain accurate property records, inspection reports, maintenance documentation, contracts, and operational records.
- Support budgeting, procurement, expense tracking, quotation evaluation, and invoice verification for property-related activities.
- Monitor property conditions and ensure relevant health, safety, building, environmental, and regulatory requirements are followed.
- Coordinate access, inspections, repairs, scheduled maintenance, and other operational activities with relevant stakeholders.
- Support emergency response, incident reporting, risk identification, and follow-up actions when required.
- Prepare regular reports on property conditions, maintenance activities, outstanding issues, costs, and operational performance.
- Identify opportunities to improve property operations, service quality, cost efficiency, and occupant satisfaction.
- Maintain effective communication with internal teams, tenants, contractors, suppliers, and other stakeholders.
Qualifications
- Bachelor’s degree or above in Property Management, Facilities Management, Real Estate, Business Administration, Engineering, or a related discipline.
- Good understanding of property operations, facilities management, building maintenance, and basic building systems.
- Familiarity with property-related regulations, health and safety requirements, maintenance standards, and operational procedures.
- Strong organizational and administrative skills with excellent attention to detail.
- Good problem-solving, coordination, and decision-making skills.
- Strong communication and interpersonal skills with a professional and service-oriented approach.
- Ability to coordinate effectively with tenants, contractors, suppliers, and internal stakeholders.
- Basic understanding of budgets, procurement, contracts, invoices, and operational documentation.
- Proficiency in Microsoft Office and familiarity with property or facilities management systems is a plus.
- Ability to manage multiple tasks, priorities, and operational requirements in an organized manner.
- Strong sense of responsibility, integrity, accuracy, and customer service.
- Proficiency in written and spoken English.
