Product Manager Responsibilities
Requirements Analysis for “Time Tracking” and Market Entry
Target State Definition:
- Audit and contribute to current list of requirements and needs for a simple, user-friendly Payroll, Time Tracking and Absence Management tool.
- Align with PM team to ensure the solution is standardized, intuitive, and fully integrated with the existing payroll system, addressing the needs of mid-sized U.S. companies (50–5,000 employees).
- Examples of requirements: recording work hours, breaks, and overtime; approval workflows; compliance with state-specific regulations; absence types such as sick leave, PTO, unpaid leave; mobile capture; payroll synchronization.
- Focus on a standard solution—no custom, individual implementations.
- Define which features belong in the core app and which in extension modules, producing a clear, tabular overview of the key Time Tracking and Absence requirements for the U.S. market.
Current State Assessment:
- Review the existing company solution to identify foundational Time Tracking and Absence capabilities (e.g., data models, interfaces, approval logic, mobile base functions).
- Analyze limitations or missing modules in the current architecture.
Gap Identification and Management:
- Define functional and compliance gaps between the current and target state.
- Collaborate with the Master Product Manager to determine which features must be developed to deliver a minimal yet fully compliant Time Tracking and Absence tool.
Implementation:
- Create detailed tasks (user stories, epics) for necessary developments.
- The Master Product Manager reviews these tasks and forwards them to the development team.
Monitoring and Evaluation:
- Oversee ongoing developments to ensure they are functional, user-friendly, and productive.
- Responsible for testing, feedback cycles, optimizations, and acceptance until deliverables are successfully released.
Continuous Improvement (CIP):
- Ensure that Time Tracking and Absence functionalities always comply with relevant U.S. state regulations.
- Initiate updates, improvements, or technological enhancements through the Master Product Manager as needed.
Market entry:
- Joint Share responsibility for a successful market entry.
- Participate in presentations with potential future partners and support the Master Product Manager in addressing technical questions.
Testing / Development:
- After implementation, responsible for collecting suggestions for improvements, additional developments, and new requirements.
- Prioritize these suggestions together with the Master Product Manager according to the Continuous Improvement Process (CIP).
- Initiate the implementation of approved improvements, always following the principle of delivering standard solutions.
Development, Testing, and Compliance with Legal Requirements
- Continuously improve the company’s solutions by providing targeted, qualified feedback through detailed work item descriptions for internal teams.
- Conceptually implement legal updates, changes, and new requirements with a focus on end-user usability.
- Test new versions of the company’s solutions.
Manuals, FAQ, News
- Create content for the FAQ and News sections.
- Develop manuals, guides, instructional videos, and related documentation.
Customer Success Lead Responsibilities
Partnership Management & Sales
- Establish and manage initial contact with potential customers and handle all incoming inquiries professionally.
- Create customer, accounts receivable, and project records in coordination with Finance.
- Schedule product demos upon request.
- Review and process customer requirement documents submitted by partners (RFPs).
- Prepare proposals within the defined authorization limits, together with the Master Product Manager and supervisor.
- Maintain regular follow-ups with potential partners.
- After proposal acceptance: request contract documents from Legal & Compliance and oversee the signature process.
- Continuously document all case details.
- Serve as the primary contact for all questions related to our product portfolio.
Project Management
- After the collaboration agreement has been signed by both parties, you are responsible for the comprehensive, goal-oriented, and high-quality implementation of the purchased software solutions until successful customer acceptance.
- Involve additional internal specialists as needed and at the appropriate level.
Customer Support for Existing Clients
- Regular, structured outreach to existing customers and feedback collection regarding their satisfaction (direct contact, on-site visits coordinated with the Master Product Manager, or other measures).
- Support customers as an advisor throughout the entire payroll processing workflow, time and performance tracking (in the future), and the Self-Service Portal.
1st/2nd- Level Support for Customers and Partners
- Acts as the primary point of contact for all clients and partners who have implemented the solution with their customers. Handles incoming requests for changes and improvements, prioritizes them in collaboration with the Master Product Manager, and manages the creation of tickets and change requests for further development.
Regular Attendance at Trade Shows
- On-site presence and presentation of the company’s solution at various trade shows, e.g., Directions North America, Summit USA, and potentially others.
Data Protection
Data Protection and Confidentiality Agreement
- The job holder undertakes to comply with the applicable statutory provisions, in particular data protection, in his/her conduct and in the performance of his/her duties.
- They undertake to maintain confidentiality towards third parties with regard to matters which by their nature or according to special regulations must be kept secret and to sign a confidentiality agreement.
- In addition, the regulations, directives, and guidelines of the company must be complied with.
Requirement Profile
Education
- Bachelor's degree in business administration, finance, accounting, or a similar field.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) - issued by the American Payroll Association (APA).
Professional Experience
- 3+ years preferred US payroll knowledge across different states (optimization, installing payroll system, working with consulting group to specify requirements).
- Experience in implementation, product, or project management
- Worked with an ERP system, preferably with Payroll (such as SAP, Oracle, JD Edwards, Epicor, Sage Business, Syspro, Dynamics 365, etc.). Configuration and conversion experience.
- Knowledge in time recording is an advantage.
- Experience in cloud solutions is an advantage.
