Job Summary:
The Marketing Coordinator provides operational, production, and logistical execution for the Marketing & Communications team across the POWERX family of brands. The role is the operational engine behind vendor workstreams, collateral request intake, the department project tracker, internal communications production, digital content scheduling, event kit logistics, and reporting support, and serves as Marketing’s intake and triage coordinator for Ops Support and field requests submitted through approved channels.
Once direction and approval are provided, this role owns the administrative, logistical, and production execution of assigned work — vendor workstreams, quote collection, order placement, proof coordination, production timelines, delivery follow-up, and status tracking. The role does not own marketing strategy, final creative direction, budgets, vendor selection, or final approvals. It exists to ensure reliable follow-through: keeping every assigned item moving, maintaining current visibility of status, and escalating anything blocked.

Duties/Responsibilities:
Approved Vendor Workstream Execution
- Own the administrative and production execution of approved vendor engagements end to end — collect quotes for approval, place approved orders, coordinate proofs, manage timelines, and follow up through delivery — for awards, signage, print, apparel, and branded merchandise.
- Escalate blockers or stalled vendor threads within one business day.
Collateral Request Intake & Project Tracking
- Triage Collateral Request submissions, confirm written approval before work begins, and log each request in the project tracker as the single source of status.
- Run a weekly status cadence and keep the department operating calendar current for assigned projects and vendor workstreams.
- Capture decisions and action items from related meetings and enter them into the tracker within one business day (AI tools such as Copilot or Claude may assist, with accuracy verified).
- Proactively schedule working sessions to unblock at-risk items, and update every open item at least every five business days.
Internal Communications, Ops Support Intake & Triage, and Department Support
- Serve as Marketing’s intake and triage point for Ops Support and field requests — answer implementation questions, route new needs into the Collateral Request process, and escalate approval decisions within one business day.
- Provide production support for HR, TA, Safety, and Workforce Development content, including posting approved recruiting content to job boards.
- Proof visual and written content, make light revisions, and maintain and distribute approved implementation guides and communications.
Digital Content Execution
- Schedule approved social posts and prepare first-pass images and captions for Manager review.
- Organize and maintain the Canva workspace and photo/video libraries in Canva and Egnyte.
- Make basic website updates as directed and roll out approved template changes, communicating updates to users.
Event & Merchandise Logistics
- Assemble and ship event kits for recruiting events, trade shows, and company events, and track deliveries.
- Maintain branded merchandise and printed-material inventory, and prepare and distribute materials.
Administrative & Reporting Support
- Route invoices for approval, log expenses against budget, and keep organized invoice records.
- Compile monthly performance metrics (social, email, web) into the reporting dashboard and draft the monthly report for Manager review.
- Maintain marketing-drive file organization and update contact and distribution lists.
Additional responsibilities and tasks as required to support the organization’s goals and adapt to evolving business needs.
Attributes/Abilities:
- Must have a satisfactory background check.
- Consistent, independent follow-through — carries multi-week items with proactive status updates and timely escalation of blockers.
- Meeting preparedness — reviews relevant threads, materials, and tracker status in advance.
- Resourcefulness — checks email, Teams, tracker, and files before requesting information that may already be available.
- Complete closure — cross-checks details (quantities, versions, recipients, delivery) before marking work done.
- Strong organization and task tracking, with exceptional attention to detail and proofreading.
- Clear written communication and professional persistence in vendor follow-up.
- Ability to prioritize competing deadlines in a lean, fast-paced environment.
- File and asset organization, accurate meeting capture, and calendar management.
Experience and Education:
- Bachelor’s degree in Marketing, Communications, Business, or a related field, or equivalent practical experience in a marketing support or coordination role.
- Proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, and Forms).
- Proficiency with Canva and project-tracking tools (Monday.com or equivalent).
- Comfort using AI productivity tools (Teams Recap, Copilot, Claude, or equivalent) for meeting capture, drafting, and task management.
- 1–3 years of relevant experience in marketing support, vendor coordination, or project tracking; exceptional entry-level candidates may be considered based on demonstrated execution discipline.
- Familiarity with Egnyte or a similar file-management system.
Physical Requirements:
- This is a remote, office desk position with no significant physical exertion required (approximately 85–90% sitting).
- Work-from-home setup is required.
- Occasional travel for company or field events, and occasional extended hours around event deadlines and production cycles.
- Occasional handling of event materials and merchandise boxes up to 25 lbs.
