Position Description:

CSS Healthcare Services is seeking a dependable, organized, and proactive Office Manager to oversee the day-to-day administrative and client service operations of our office.

This position serves as a central point of coordination between clients, caregivers, office staff, and management. The Office Manager is responsible for maintaining client schedules, addressing scheduling issues and call-outs, receiving and documenting client/caregiver concerns, ensuring timely follow-up, maintaining accurate records, and helping ensure that daily office operations run efficiently.

The ideal candidate is highly organized, professional, responsive, and comfortable managing multiple priorities in a fast-paced healthcare environment.

Key Responsibilities

- Maintain and monitor client and caregiver schedules.

- Coordinate coverage for call-outs, schedule changes, and open shifts.

- Respond to client, caregiver, and family questions and concerns in a professional and timely manner.

- Receive, document, escalate, and follow up on complaints and service-related issues.

- Maintain accurate client, caregiver, and administrative records.

- Monitor office communications, phone calls, emails, and outstanding follow-up items.

- Communicate schedule changes and service updates to appropriate staff, clients, and caregivers.

- Assist with new client intake and coordination of services.

- Track required documentation and ensure records are complete and submitted by established deadlines.

- Assist with caregiver onboarding, credential collection, and administrative compliance requirements.

- Perform data entry and maintain information in agency software and web-based systems.

- Prepare reports, correspondence, meeting notes, and other administrative documents.

- Coordinate with nursing, management, scheduling, and other departments as needed.

- Identify unresolved operational issues and ensure they are appropriately escalated to management.

- Maintain confidentiality of client and employee information.

- Help ensure office policies, procedures, and established workflows are consistently followed.

- Perform other administrative and operational duties as assigned.

Skills:

- High school diploma or GED.

- Minimum of 3 years of administrative or office experience.

- Previous experience coordinating schedules, clients, employees, or service operations.

- Strong customer service and problem-solving skills.

- Excellent verbal and written communication skills.

- Strong organizational and time-management skills.

- Ability to manage multiple priorities and follow issues through to resolution.

- Strong attention to detail and accurate recordkeeping.

- Proficiency with Microsoft Office, Outlook/email, and web-based systems.

- Ability to maintain professionalism when handling complaints, conflicts, or sensitive situations.

- Dependable attendance and punctuality.

Preferred Qualifications

- Bachelor's or associate degree.

- Previous experience in home care, healthcare, senior care, developmental disability services, or a related field.

- Experience with healthcare scheduling or electronic visit verification (EVV) systems.

- Experience supervising or coordinating administrative staff.

- Familiarity with healthcare documentation and compliance requirements.

- Demonstrated ability to follow detailed policies and procedures.

Ideal Candidate

The successful candidate will be someone who takes ownership of the office rather than simply completing assigned administrative tasks. They should be comfortable identifying problems, following up on outstanding matters, communicating with multiple parties, and ensuring that client service and daily office operations do not fall through the cracks.

Job Type: Full-time

Pay: $15.00 - $17.00 per hour
