Our team handles both routine and complex matters, including immigration applications, inadmissibility cases, refugee claims, immigration hearings, and Federal Court litigation.
About the role
We are looking for an Automation & IT Coordinator to take ownership of the firm’s automation, AI tooling, and day-to-day technology operations.
This is a hands-on role. You will spend most of your time identifying inefficient processes and designing, building, testing, and launching solutions. You will also help keep the firm’s software and systems working effectively.
Success in this role means less repetitive administrative work, fewer errors, smoother handoffs, and more time for our team to focus on clients and legal work.

Hybrid work arrangement
This is a hybrid position based in Toronto. Attendance at Esna Law’s Toronto office one day per week is mandatory. The remaining workdays may be worked remotely.
Applicants must be available during Eastern Time business hours and able to commute to the Toronto office weekly.
What you’ll do
- Work directly with our team members to understand how processes currently work and where time is being lost.
- Turn repetitive or manual processes into practical automations and internal tools.
- Design, build, test, and launch workflows, assistants, agents, and productivity tools.
- Build automations using Microsoft Power Automate, Zapier, APIs, MCP servers, and other suitable tools.
- Build AI agents and assistants that support lawyers and administrative staff in their daily work.
- Provide IT Support as system administrator as required.
- Handle software setup and configuration for Microsoft 365, Adobe, and other firm applications.
- Act as the first point of contact for day-to-day software and systems issues.
What we’re looking for
- Some experience building workflow automations, AI solutions, system integrations, or internal productivity tools.
- Working knowledge of APIs, MCP, databases, automation platforms, and low-code tools.
- Evidence that you have built and launched something real—such as a tool, automation, agent, or integration—that solved an actual problem for actual users.
- Sound judgment regarding data handling, privacy, access, and security. You will work with systems containing confidential and privileged client information.
- Availability during Eastern Time business hours.
- The ability to attend our Toronto office one day every week.
The following would be considered assets:
- Microsoft 365 administration experience, including tools such as SharePoint, Teams, Exchange, Entra ID, Power Platform, or Copilot Studio.
- Experience with Clio or another CRM, practice management, or case management platform.
- Scripting experience using Python, PowerShell, or JavaScript.
- Experience working in a legal, accounting, consulting, or other professional services environment.
- Familiarity with cybersecurity, privacy, or information-governance practices.
