Ty Hafod Nursing Home, Cardiff

We are looking for an exceptionally organized, efficient and reliable Administrator to join the team at Ty Hafod Nursing Home.

This is an important role within the home. We need someone who enjoys being organized, is confident working with numbers and spreadsheets, pays close attention to detail and takes real ownership of their work.

You will work closely with the Home Manager and Head Office and will be responsible for ensuring the administrative and financial side of the home runs smoothly.

We are particularly interested in finding someone who is proactive – someone who takes initiative, sees what needs to be done and takes pride in following tasks through to completion.

What you'll be responsible for

Your role will include:

- Preparing payroll information accurately and on time using CoolCare system

- Processing invoices and preparing bank payments

- Maintaining cash book spreadsheets

- Managing resident monies and recording expenditure accurately

- Preparing contracts and invoices for new residents

- Completing Cardiff Council funding returns

- Maintaining accurate staff and resident records

- Onboarding of new staff including DBS, references and completing required checks and ensuring all documentation is up-to-date

- Ensuring all professional registrations are up-to-date and regularly monitored in line with CIW regualtions

- Recording annual leave, sickness and other staff absence

- Managing pre-admission, admission and discharge paperwork

- Following up enquiries from prospective residents and families

- Placing and monitoring orders for the home

- Maintaining organized electronic and paper filing systems

- Keeping track of maintenance, servicing and statutory checks and ensuring documentation is up to date

- Liaising professionally with residents' families, suppliers and external organizations

- Supporting meetings and preparing information and reports when required

- Keeping on top of deadlines and following outstanding actions through to completion

- You should be:

- Extremely organized with excellent attention to detail

- Confident using Excel, Word, Emails and basic accounting knowledge.

- Comfortable working with figures, invoices, payments and financial records

- Accurate – particularly when dealing with payroll, payments and confidential information

- Able to manage several priorities without losing track of deadlines

- A strong communicator, both written and verbal

- Professional and approachable when dealing with residents, relatives and colleagues

- Able to work independently and use your initiative

- Good at spotting problems and resolving them

- Comfortable following up with people when something hasn't been completed

- Calm and capable when the day becomes busy

- Discreet and trustworthy when handling confidential information

Experience within a care home, healthcare or similar environment is desirable, but we are more interested in finding an outstanding administrator with the right skills and attitude.

What success looks like in this role

The right person will become someone the Home Manager and team can rely on completely.

Payroll is accurate. Payments are made on time. Records are up to date. Deadlines aren't missed. Families receive professional responses. Paperwork can be found when it is needed. Outstanding tasks are followed up without someone having to ask.

In short, you will help keep Ty Hafod organized and running smoothly behind the scenes.

Pay: Up to £16.15 per hour

Expected hours: 36.0 per week
