The Senior Administrative Assistant, reporting to the Executive Assistant of the Office of the President, provides essential administrative support to the People Focus Leadership Teams, which include Human Resources, Talent Acquisition, Learning & Development, and Berkadia Way. This role is crucial for ensuring smooth, efficient, and collaborative operations across these key departments.
Responsibilities

Manage Outlook calendar and appointments for CPO, and SVP managers daily.

Coordinate and schedule meetings and appointments.

Organize and prepare for meetings, including gathering information, sending invitations, and tending to logistics of meetings.

Submit invoices related to Human Resources, Recruitment, Benefits, Diversity, Leadership & Development and Berkadia Way related department expenses.

Complete monthly expense reports.

Coordinate travel arrangements and reservations, as needed.

Respond to and resolve administrative inquiries and questions, as needed.

Support the needs of People Focused departments by handling incoming emails and phone calls to the Human Resources Department and directs them to the appropriate team member(s) as needed.

Plan events, luncheons, and team engagement activities.

Proofread and type documents and correspondence produced by the department.

Manage department’s PoliteMail account.

Ship Employment Law posters to various office locations across the country to ensure compliance.

Upkeep company intranet site content so that it is current and a helpful resource to employees.

Order office supplies and maintain inventory.

Receive and distribute office mail, as needed.

Provide back up to receptionist on a rotating schedule with other assistants.

Other duties as assigned.
Preferred Qualifications

Proficient in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.

Possesses strong organizational skills and the ability to multitask effectively in a fast-paced environment, ensuring attention to detail and adept management of competing priorities.

Skilled in managing stakeholder expectations, proactively communicating potential delays due to conflicting priorities.

Demonstrates excellent communication abilities, capable of clear and effective interactions both verbally and in writing with all levels of an organization, internally and externally.
The provided base salary information for this position is part of an overall national range. The actual salary within our range for this position will be determined by several factors, including but not limited to the scope, complexity and location of the role, the skills, education, training, credentials, and experience of the candidate. The total compensation package for this role may also include additional incentive opportunities.
Compensation
$34.00 hourly - $36.00 hourly USD
