The Division of Physics provides comprehensive clinical and research support for faculty and professional staff. The team coordinates patient care, educational programs, and research initiatives while ensuring operational efficiency across multiple sections. This division plays a critical role in advancing cancer treatment through innovative practices and collaborative efforts.
The primary purpose of this position is to perform complex administrative activities that support departmental operations and provide advanced-level administrative and secretarial assistance. This role requires independent judgment, initiative, and strong organizational skills to manage multiple priorities under minimal supervision. Excellent verbal and written communication skills are essential for interacting with staff, patients, and visitors at all levels.
The ideal candidate has a strong administrative background with experience in calendar management, event coordination, and financial tracking. They are detail-oriented, highly organized, and proficient in handling confidential information. Advanced communication skills, both written and verbal, are required, along with the ability to work independently and under pressure. Experience with travel coordination, website maintenance, and project management is highly valued.
The typical work schedule is Monday - Friday, standard business hours, with occasional flexibility required for events or departmental needs.
Hourly breakdown of salary range: Minimum $21.88 - Midpoint $27.40 - Maximum $32.93

Job Duties

Provide high-level administrative support to faculty, professional staff, and dosimetry/physics teams.

Coordinate complex calendars, meetings, seminars, and conferences, including advertising and visitor arrangements.

Manage departmental operations such as mail distribution, lab coat delivery, and front desk coverage.

Process and track purchase requisitions, monitor spending, and reconcile financial reports.

Coordinate domestic and international travel, including multi-destination itineraries and visa requirements.

Assist with faculty recruitment visits and annual conference logistics.

Maintain and update departmental intranet and internet content.

Operate standard office equipment and manage poster printing for departmental events.

Mentor new support staff and attend scheduled meetings.

Handle confidential projects requiring independent judgment and adherence to institutional policies.
EDUCATION

Required: High School Diploma or Equivalent

WORK EXPERIENCE
