Group Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
We are seeking a highly organized and experienced administrative professional to provide comprehensive operational and administrative support across multiple teams, including groups distributed across Redmond and international locations. This role is integral to maintaining smooth day-to-day workplace operations, supporting senior executives and their teams, and contributing to a collaborative onsite admin community. The ideal candidate brings a strong foundation in executive support, demonstrates sound judgment when navigating complex organizational policies, and thrives in a fast-paced, dynamic environment with minimal oversight.
Job Responsibilities:

Manage complex executive calendars, including providing coverage for other administrative professionals during absences

Coordinate and support workspace and space management activities, including maintaining floor plans and organizational resources

Assist with office moves, hardware procurement, and facilities-related purchasing and operations

Support employee engagement initiatives such as morale events and giving campaigns

Process and support expense report approvals and financial operations in accordance with company policies

Serve as boots-on-the-ground operational support for teams distributed across multiple locations and time zones

Coordinate meetings, events, and cross-team communications across large organizations

Enforce team policies and procedures, including appropriately challenging requests that fall outside compliance guidelines

Independently manage assigned projects from initiation through completion with minimal oversight

Collaborate effectively with a team of onsite administrative professionals supporting large organizations
Requirements:
-
2–4 years of administrative experience in a fast-paced professional environment
-
3–5 years of executive calendar management experience
-
2–3 years of project management experience
-
1–2 years of expense management experience, preferably within a large enterprise environment

Prior experience supporting senior executives and navigating complex organizational structures strongly preferred
-
Prior experience in a Microsoft environment is strongly preferred and considered a significant differentiator

Experience providing administrative coverage for other executive assistants during planned or unplanned absences highly preferred

Demonstrated knowledge of workplace operations, space planning, and facilities coordination

Familiarity with enterprise administrative policies and organizational compliance practices

Strong executive calendar management and scheduling expertise

Excellent written and verbal communication skills with the ability to interact across all levels of an organization

Proven project management capabilities with a track record of meeting deadlines

Proficiency in Microsoft Office Suite including Outlook, Excel, and PowerPoint
expense management tools and internal administrative platforms

Familiarity with expense management tools and internal administrative platforms

Strong customer service orientation and attention to detail

Ability to support remote and global teams across multiple time zones

Sound judgment in identifying and escalating policy compliance concerns

Highly organized with the ability to manage competing priorities in a fast-paced environment

Ability to lift up to 30 lbs as needed for facilities and operational support tasks

Location: Redmond, WA (Hybrid: 3 days/week)

Pay Range*: $27 - $30.50 per hour

Weekly Schedule: 40 hours
