Context And Mission

The Barcelona Supercomputing Center (BSC) is looking for an Administrative Assistant to provide administrative and operational support to the CASE, Computer Applications in Science & Engineering, Department.

The successful candidate will contribute to the smooth day-to-day operation of the department, supporting Team Leaders, coordinating administrative activities, assisting with departmental services, and supporting the organization of meetings, events, workshops, and conferences.

Key Duties

- Provide administrative support to Team Leaders in CASE

- Processing travel and other expenses (and subsequent processing of these payments with the Finance Department)

- Manage resource requests and provide support with other departmental administrative processes.

- Welcome and assist visitors to the department.

- Provide general administrative support to ensure the smooth operation of the CASE Department, including coordination with Administration, Maintenance, and Helpdesk teams, management of hot desks, restocking of materials, and support in resolving day-to-day operational and organizational issues.

- Support the organization and coordination of internal and external meetings, events, workshops, and conferences.

Requirements

- Education

- FPI or FPII in Administrative Studies or a related field.

- Superior Studies in Administrative Studies or a related field will also be considered.

- Or equivalent experience

- Essential Knowledge and Professional Experience

- 1–3 years of experience in administrative support roles.

- Additional Knowledge and Professional Experience

- Specific knowledge or previous experience in the development and management of research centers will be highly valued.

- Fluency in spoken and written English and Spanish. Knowledge of Catalan will be highly valuable

- Fluency in other European languages will be also valued.

- Good level knowledge of Microsoft Office (PowerPoint, Excel, Outlook etc.)

- Competences

- Flexibility and adaptability to variable workloads and changing priorities

- Capacity and flexibility to adapt to the operation and management rules of the center.

- Proactivity and ease in dealing with staff and other departments

- Ability to take initiative and to work independently as well as in a team

- Ability to communicate effectively with messages aimed at multidisciplinary teams

- Ability to solve issues which can improve the related process

Conditions

- The position will be located at BSC within the CASE Department

Duration: Open-ended contract due to technical and scientific activities linked to the project and budget duration

Development of the recruitment process

The selection will be carried out through a competitive examination system ("Concurso-Oposición"). The recruitment process consists of two phases:

- Curriculum Analysis: Evaluation of previous experience and/or scientific history, degree, training, and other professional information relevant to the position. - 40 points

Interview phase: The highest-rated candidates at the curriculum level will be invited to the interview phase, conducted by the corresponding department and Human Resources. In this phase, technical competencies, knowledge, skills, and professional experience related to the position, as well as the required personal competencies, will be evaluated. - 60 points. A minimum of 30 points out of 60 must be obtained to be eligible for the position.

The recruitment panel will be composed of at least three people, ensuring at least 25% representation of women.

In accordance with OTM-R principles, a gender-balanced recruitment panel is formed for each vacancy at the beginning of the process. After reviewing the content of the applications, the panel will begin the interviews, with at least one technical and one administrative interview. At a minimum, a personality questionnaire as well as a technical exercise will be conducted during the process.

The panel will make a final decision, and all individuals who participated in the interview phase will receive feedback with details on the acceptance or rejection of their profile.
